Client Initial Meeting - Business Web Design / Web Content

Let's take a look at how things are going.

Client Communication :
The communication was done with me through email. Other team members were involved in the web site upload.

Meeting Accomplishments -
The emails with the client involved sending an invitation to attend the final presentation. The client said she would be there and possibly the fonder and other board members.

Client/Team Interactions:
The team could not have had a better client to work with.

Problems or Concerns:
The client was great.

Client Communication :
We have had two meetings now with the client one today and one on the 28th. Both were good meetings and very informative. There have been many emails.

Meeting Accomplishments -
We set a communication plan with the client and gave her a list of questions which she answered a few days later. She is working on compiling the updates to the copy on the existing site. The copy on many pages will be as it is now. Krisha will be giving us a disc with all the site files tomorrow. In the second meeting we discussed and finalized the navigation and discussed a first draft of a design idea. W also discussed other files that would be needed to update some of the flash elements.

Client/Team Interactions:
The whole group interacts very well in face to face meetings and it is easier to clear up issues on the spot that might be harder in an email.

Client Communication :
We've had two face to face meetings with the client that were over an hour each. We've also communicated through email several times.

Meeting Accomplishments -
The goal of the first meeting was to understand the direction the client wanted to go with the site and get as many page ideas as possible. We were able to get a general idea of what the client wants to accomplish with the site. But we weren't able to get the client to commit to any pages / storyboard. We still need to get a storyboard from the client. The bee business is really busy this time of the year so we've had to push back the deadline for the storyboard until this week.

Client/Team Interactions:
I feel the group interacted well with the client. The first meeting was more of a meet and greet to get to know the client. By the second meeting we meant business and really tried to nail down what the client wants for the site and have her commit to a storyboard.

Client Communication :
My team met with the client. I was unable to attend. They filled me in at the next team meeting. The project manager is their email contact and is arranging the next team meet.

Meeting Accomplishments -
Goals accomplished were: 1. introductions 2. examples of websites the client liked were determined 3. preliminary storyboard was established 4. some content was received I believe all of the goals of the first meeting were accomplished.

Client/Team Interactions:
I wasn't there but my team is personable, efficient, and professional; I'm sure the meeting reflected this. I understand that the client is very enthusiastic and brought many stakeholders in the website with them to the meeting.

Client Communication :
We have had 2 face to face meetings. The PM & Des have had a number of emails. I also attended their first ever General Meeting.

Meeting Accomplishments -
The goal for the first meeting was to give a deadline for content and to encourage a storyboard. The deadline for the content was set. The deadline for the storyboard was set by email about a week later once we saw that the client was dragging feet.

Client/Team Interactions:
The client is very personable. She is also in a very busy time of year. We interacted well. We expressed the importance of receiving the necessary info a few times. The overall tone was "I will try to get you the info"... She was to meet with the board on Feb 10th & make our info a priority.

Client Communication :
have had two facetoface meetings with client with all of group present. Other team members have emailed her, but I do not know the frequency. I have not had occasion to do so yet.

Meeting Accomplishments -
we received a big picture of how she visualized site in very vague terms - but no communication about actual goal of site. we received some content in paper form, but no storyboard, no electronic content, no images or goal. she seemed to indicate that wanted to do the design layout before established what content would be included. we need the client to provide this information and an actual storyboard and well as deside on which design she likes (the designer created some samples and emailed her) . PM emailed her a deadline for storyboard. waiting to hear.

Client/Team Interactions:
group was a bit shy about where to start with her. we did not get a chance to really go down our agenda. she seemed a little overwhelmed the first time, she was not feeling well and was not prepared for meeting. she is very good at going off on a tangent when speaking. her ideas were a bit all over the place. the second meeting was a close repeat of the first except I noticed the team was less shy about speaking and explaining what we need from her. she was not prepared and trying to 'wing it'. she explained that the time she had set aside was used for a last-minute emergency and was unable to prepare. she did not contribute any ideas and provided a repeat of the paper form of same content as first meeting.

Client Communication :
we had an in-person meet at the JC some time ago. communication with the Client is through Doane, so I can't speak to how much communication there is outside that.

Meeting Accomplishments -
we tried to nail down what they wanted, and I certainly got the point across that they wanted a Blog most of all, but the meeting was still more vague than I'd of liked. I think the Client really wants everything but doesn't know how to say it :)

Client/Team Interactions:
the interactions were professional. the discussions got a bit out of hand with multiple discussions at once, but that was temporary.

Client Communication :
We are using email primarily to communicate with the client. They are not communicating with us very frequently, but they are prompt in responding when we email them.

Meeting Accomplishments -
We accomplished a lot at the first meetings in terms of understanding the clients' vision of the site and the structure. We didn't receive any content the first meeting, though, and we are waiting on that. I don't believe a specific deadline was set for the content, but we did point out that we have class deadlines to meet and they have been provided with this schedule either in paper or on the shell site.

Client/Team Interactions:
Our interactions have been friendly but professional and have gone quite smoothly.

Client Communication :
We've had one meeting with the client that went very well and was quite productive. We discussed the existing site and the usefulness of rearranging the existing content into a more coherent architecture and adding new content that they desire. Since then we've had some emails containing some of the content.

Meeting Accomplishments -
We stressed the deadlines for content and suggested they take a really good look at their existing site with the idea of modifying the content and navigation.

Client/Team Interactions:
We have good rapport with the client as they are enthusiastic about the new site. I hope they are seriously looking at the content and images with the goal of providing same by the deadlines.

Nichelle Rourke from the Sonoma County Folk Society group from the Business of Web Design class submitted the Client Initial report

Client Communication :
We have had one face to face meeting with the client. At that meeting we exchanged emails, which is the preffered mode of contact. However the contact via email has been very sparse. The society puts out a monthly email, which they also sent to us. Otherwise, we have heard nothing. This worries me some, since I have sent some emails. We are planning face to face meetings once a month and now determining the next date to meet.

Meeting Accomplishments -
The goals were to answer lots of questions and get a feel for the site we are making. We still need content and feedback on the content already available on the original website. No deadlines were set, perhaps I need to set some. I feel that we have some content to work with and also feel we are free to have artistic control (but I may be wrong about this), thus making input by the client less imperative.

Client/Team Interactions:
The group worked well with the client, the client (including 5 men) was excited and welcome to all of our ideas. The tone at the meeting was upbeat and went the whole 2 hours. Since then communication is mostly absent. It may take a week to schedule the next meeting.

Client Communication :
We had our first team/client meeting 10 days ago. I felt the interaction went well and this client is open to many suggestions for their site reconstruction. Our PM has been in touch via email twice I believe for content and I have emailed once because the font that they sent had been corrupted. It turns out they were some old fonts from a Mac that are not compatible on my PC. It is not an issue though as I do have a vector logo from them and am using some similar font substitutions.

Meeting Accomplishments -
We did set goals as far as content deadlines. Our client has been in touch somewhat with these deadlines but since they have an existing site our PM has cut/paste much of the content herself.

Client/Team Interactions:
The interaction went well with our team members and the client group all voicing ideas and opinions. The overall tone of the meeting and communication was very optimistic and enthusiastic. They are a very nice group of older gentlemen who are excited about the new site.

Client Communication :
I have had one face to face meeting with our client, and plan to start email communication this week.

Meeting Accomplishments -
I thaought we accomplished a few things at the meeting such as site layout and ideas. We started a repore with the client and set a few deadlines, but I feel we may need to adjust them as I understand our goals for the site more clearly.

Client/Team Interactions:
I think the group interaction was nice, and the tone was smooth and comfortable after geeting to know our client.

Client Communication :
Our team has had 1 face to face meeting, and has exchanged several emails with our client. The client informed us ahead of time that she would be unavailable for the later part of last week. We are waiting on a reply to an email sent late last week, and my PM is out of town until tomorrow. I have questions for the our client, regarding the draft and storyboard, but will wait until I check in with the PM tomorrow to be sure I'm not wasting the clients time with questions she may have answered in an email to the PM.

Meeting Accomplishments -

Deadlines were not established for finishing these incomplete tasks. The reason is the client has been very forthcoming with material and decisions. We decided not to press our client about doing something that she is already doing. If this changes, we will immediately asks for deadlines.

Client/Team Interactions:
Our face to face meeting was congenial, informal, productive, and everyone contributed to the discussion. Emails have been frequent, concise, and explicit.

Doane Atwood from the Women's Global Leadership Initiative group from the Web Content Practicum class submitted the Client Initial report

Client Communication :
Initial contact was made by phone after two emails and a phone call, followed by a face-to-face meeting. I've sent them one update by email - the next one is due on Wednesday and will be weekly. I've also exchanged a few additional emails and phone calls with them -- about once a week so far.

Meeting Accomplishments -
At the first meeting we introduced the team members on both sides, exchanged contact information, and set up a basic communication plan. We came up with an initial list of pages, but that list has grown slightly. Our designer has put together an initial storyboard, which he will be revising, at which point we will try to agree on the final list of pages. Although the client did not bring any content with them, we discussed content, and the deadlines for content delivery. They have begun sending content, as of yesterday. They are also going to provide photographs taken by one of the WGLI team members for the site. We reviewed the client questionnaire, following the organization of the document as we moved through the initial meeting, with different team members leading different areas of discussion. Our designer lead the design portion of the meeting. We looked at some of the websites the WGLI team pointed out as sites they liked and discussed the pros and cons of those designs. Our designer showed several examples of sites incorporating features that they liked. Our programmer will be providing a list of options for the different pieces of the project that will require programming work (there are several!). He showed some examples of programming options, to get a feel for the kind of things the client likes.

Client/Team Interactions:
There was a lot of positive energy at the first meeting. The WGLI team has lots of ideas, and some general ideas about how they might be accomplished, but is looking for the SRJC team's guidance about how best to accomplish it. We had both informal discussion of different topics of the website design, and more structured Q&A about specific issues. The WGLI team has varying levels of technical proficiency, and therefore needs different levels of explanation, and styles of explanation, to understand some of the topics of discussion, and the proposed elements of the website. The founder of the organization is the primary source for content. Her daughter, the primary point of contact for the project, filters, organizes and edits the material her mother provides. The third member of the team will be their webmaster, and will be responsible for maintaining the website. He has designed websites in the past, and is a flash programmer. He will be creating the WGLI logo (we have offered to assist if necessary) and may be putting together a flash animation for the site's home page. During the meeting it was sometimes necessary for me as Project Manager to translate some of the lingo and technical terms used by some of the team members into "standard english" in order to communicate them effectively to the non-technical founder of the organization, and sometimes to her daughter. They seemed to appreciate that a) there were people who understood the technical side of the issue, and b) there was someone who could explain it more simply, without oversimplifying things.

Client Communication :
We have had one face to face meeting. We all got along pretty well.There seems to be a good communication between us. The Clients were very eager to communicate what they are needing in their website.

Meeting Accomplishments -
WE set up the deadline for the first 50% of the website content. The storyboard still needs to be worked out.

Client/Team Interactions:
WE interacted with the client very well. The two groups were very comfortable with each other at the end of the meeting. Both sides seemed to understand each other well.

Client Communication :
we communicate face to face first meeting and after that e-mails are basically most used

Meeting Accomplishments -
-to know what is the client prerogatives and expectations. -we are still working on the flow of content material from them. -we are on time until now there is no need of deadlines for unfinished goal or tasks.

Client/Team Interactions:
basically the client communicate with our PM (Larry) and then him passes the info to the rest of the team

Client Communication :
We have had two face to face meetings (close to 3 hours total) and several e-mails. We probably hear from her about 1x per week although e-mails from our side are more often.

Meeting Accomplishments -
We still do not have a storyboard and the client has not supplied any additional content except what is on the current web page and brochure(a total of 10 paragraphs). She also gave us a PowerPoint presentation with some pictures we could use on the site. We have set a deadline of Feb. 11 to get storyboard finalized (after extending it for another week--she doesn't have authority to OK anything and hasn't met with the other folks yet). Our client doesn't seem to be motivated to supply more information. (Just too busy and stressed) No comments received on 3 designs sent to her this last week. Colors still up in the air...

Client/Team Interactions:
We made positive suggestions for content. Went to the last meeting with a suggested storyboard and page content. Not much feedback from client. She has a lot of ideas but no time to put any into place. I think we all felt frustrated that she has not done anything for the site. Has answered some of the client questions but we really haven't addressed communication as well as we should have. We are working on that and are asking Linda for direction. Just go with what very little she has or have Linda intervene and encourage more helpfulness with us. What do you do with a client like this is the real world?

Our main communication with our client has been through email, as this is our client's preferred method of communication. There have probably been about 20 emails back and forth to this point. We had our first face to face meeting on Thursday 1/29 and it lasted a little over two hours.

Meeting Accomplishments -
The goals we accomplished at the first meeting are: -we establish a good working relationship with our client -we learned her communication preference was email -we had already received all the answers to our questions prior to this meeting, so we didn't have to discuss these at the meeting -we developed a rough storyboard/outline of the website and obtained a lot of the content for the pages -we talked to the client about her ideas for the design and the overall feel of the website she wants We decided to not set a formal date for the next face to face meeting. We left it at that the next meeting would probably be early March and we would set the date and time as it got closer.

I think Al and I (the group) got along very well with Ronit. She seems very excited to be working with us to develop the site. All of her communications so far have been positive and she's grateful for the help.

Client Communication :
We had our initial meeting and have been in contact via email and phone with them, the communication is relayed through the project manager as he deals mostly with the client which is nice at this point in the project.

Meeting Accomplishments -
We got the basic layout and color scheme idea from the client along with a general site size layout. We figured out more about what they are looking for and some of the more detailed things they would like in the site. We set earlier deadlines for the calander dates so that we can get more done sooner.

Client/Team Interactions:
The meeting was energy filled it took a lot of effort to keep it under control as everyone had great ideas they wanted to get out and things they wanted to talk about. We covered everything we needed for the initial meeting and more, overall I think the first meeting went great and I feel we got more than I was expecting from it.

Client Communication :
We met with our client on the evening of January 28th, and I think we were all impressed with her enthusiasm. Jerry had been in touch by email with the team regarding the meeting and the agenda, and had forwarded the pertinent replies from Krisha of American Philharmonic along to the team. Seemed like we were getting emails from Jerry about every other day for a while there; all good!

Meeting Accomplishments -
We did get some answers from Krisha about who will make the decisions on the website (she will, although she may have to consult the board at times). Krisha is aware of the deadlines for content and for the webpage in general, Jerry is emailing her that. Some revisions have to be made to the content currently on the American Philharmonic website, and some of the photos are outdated; I believe she's in communication with Jerry about the delivery of content.

Client/Team Interactions:
The overall tone was optimistic, and Stephen and Jerry were very composed and presented timely information about design elements for Krisha to consider. A very friendly atmosphere (I may even have to attend the symphony on Valentine's, just to see what it's about). I think the communications so far are good, and I look forward to seeing Stephen's design and working more with Krisha and the team.

Gloria Batemon from the American Philharmonic group from the Web Content Practicum class submitted the Client Initial report

Client Communication :
We have met with our client, Krisha, once and have had a few emails back and forth. She will be quite busy the weekend of Feb 7 & 8 and a concert at the Wells Fargo Center on the 14th and 15th of February, which she has invited us to attend. We are to give her weekly updates on Tuesdays. Jerry will be giving those updates to her.

Meeting Accomplishments -
We were in hopes of getting the questions answered, (which she had answered and brought in with her)how involved she wanted to be, if she would be able to approve items on her own of if she would need to have others help with the decision making. What the overall goal was for the website and what pages would need to be added, deleted or moved. We plan on meeting with her every two weeks and will be trying to stay ahead of schedule. We are in need of the story board and are waiting for the content.

Client/Team Interactions:
We had a very positive meeting. Krisha seemed happy with the team and the team was very enthusiastic about getting to work on the web project. We are headed for something great.

Client Communication :
To introduce myself as the PM I telephoned Alicia Watson,our client. I got an answering machine, so I also sent anemail. Alicia returned my call in about 2 hours, plus she responded to my email. After an email discussion with my team we picked a couplepossible meeting time and selected a time we could all meet.I emailed the client a long list of questions prior to the mtg. They came fairly well prepared. We have only met face-to-face once.

Meeting Accomplishments -
We accomplished most of our goals. Accomplished: Color and look (layout). Storyboard of proposed pages. Content ideas and forms required. Discussed requirements for client training, ISP needs,and maintenance of the new site after handoff. Still need: Content.Set due date of 2/23 for 50% of content, with agreementthat is will be sent in phases, starting in 1 week.

Client/Team Interactions:
The SRJC and Client team had a very good discussion. Everyone contributed and our team took turns speakingand covering various parts of the discussion.If anything, I probably interupted too often. The tone was very positive and cooperative.

Client Communication :
We have had one meeting with the client, face to face.

Meeting Accomplishments -
We discussed basic questions regarding the website. Issues of content, design issues, target audience, goals and categories of information were discussed. Issues around images and fonts still need to be resolved. We do not have deadline for those. Some issues were discussed broadly, especially regarding the design, but I think they will become resolved during the design process.

Client/Team Interactions:
I think it went very well. The meeting was professional in tone. It was just the right length, we would have all been a little "fried" if it had gone longer. I think we got all the information that they could give us answers to, and resolved issues as to responsibilities of clients and team.

Client Communication :
We met with our client yesterday 1/31/09. Our PM had called her the day before to confirm, and sent her our list of questions earlier in the week so she could be prepared for the meeting.

Meeting Accomplishments -
The meeting went very well. Our client is very computer illiterate, but very organized, and she came with answers to our questions, a CD of pictures, Some printouts of websites she liked, and some of the content. She told us all about their organization and the goals for their website. Unfortunately the only content we received in digital form was the pictures, but our PM has graciously offered to scan in all the content to digital form. We showed our client the Design Sampler I made and got some good ideas to go off of from that. We are going to meet with our client again on 2/8, and she will be bringing some more content for us.

Client/Team Interactions:
The group interaction with our client and communication was great. We have a lot to get started with, and I think our client is going to be pretty easy to work with.

Client Communication :
Our first meeting was this morning; 1/31/09 with the client. She came well prepared with answered questions, that I emailed her earlier in the week. She had printouts for myself and my team members, along with a cd of images. I contacted her by phone the day before the meeting and she looked forward to meeting the team.

Meeting Accomplishments -
We was able to show the client several layout designs and gave her some good ideas for her web site. She had some web sites that she previously looked at and had the links printed out for us. Another meeting is scheduled on the 8th of February; to show her some mochups.

Client/Team Interactions:
Everything ran smooth; I followed the agenda that I had brought with me. The meeting didn't run too long and everything I had planned for the meeting was covered well. My team & I are excited to work for this client and how she was prepared. Since she isn't a computer-tech person; she pretty know much what she wants for her site.

Client Communication :
We had our first meeting this morning, January 31st, in the computer lab at Maggini Hall. It went very well I think - our PM had forwarded a collection of questions to our client representative earlier in the week, and she came well-prepared with fliers, pictures, and questions.

Meeting Accomplishments -
We discussed the possibilities for the look and feel of the website, showing the client several examples of layout and content. She in turn had reviewed several websites on her own and had brought us samples of sites she liked. We agreed to meet again next weekend to show her design mockups for her site, and she will bring additional content to that meeting.

Client/Team Interactions:
The overall tone was relaxed and friendly. Our client is not internet-savvy, but seems very open to our ideas. We were impressed with the amount of information she brought to the meeting.

Client Communication :
I have had numerous email communications with the client (about 6-7) and Wednesday (1/28) the team had its first face to face meeting with the client. With the email communications I was able to introduce the team members to the client, have the client answer our questions, and arrange our first face to face meeting.

Meeting Accomplishments -
We went by the agenda listed in Linda's web site. We established our means of communication, content the client would furnish, how involved the client wished to be in the design, site issues, and overall goals of the web site. We had a very productive meeting and obtained enough information from the client to start the project. We are using the milestones from Linda's web site; however, we expect to be ahead of schedule. Our next meeting will be in two weeks.

Client/Team Interactions:
The group interacted very well with the client. The client is very enthusiastic about having the team work on the American Philharmonic web site and the team is happy to have this site as its project. I thought everyone was excited about the project and is looking forward to working with the client.
