Client Initial Meeting - Business Web Design / Web Content

Let's take a look at how things are going.


Kirsten Kristensen from the Computer Studies Dept. at SRJC group from the Web Content Practicum class submitted the Client Initial report

Client Communication :
I met with my client, Linda Hemenway with the Computer Studies Department at SRJC on Friday, February 10th. We plan to touch base each Friday to assess the progress that will be made with the video. I will upload visual samples of the work in progress and send her an email to review it online. Correspondence may be done primarily via email, although, Skype will be a good way for us to discuss it and see the project together should that be more suitable for the situation.

First Meeting Accomplishments / What still nees to be done -
We met in her office and discussed the project and possible additional projects the Computer Studies Departments will need to have completed. Linda showed me the materials that I will have to put the student testimonial video together. I’ve got the world’s greatest client because not only did she provide an edited composite of the soundbites she would like to use, she gave me b-roll material, music and samples to use as guidelines! Most clients do not provide so much material to work with – I can’t believe my luck!

Client Communication Plan:
Our initial goal is to create a first look at the video, with transitions, a full-screen graphic sample and a lower-third. This is to set the look and feel first, to get the client’s approval before forging ahead on the remaining material. With the guidelines set by Linda, she has also suggested I have room to be creative and provide additional material for the video. I like how easy-going my client is and how she has entrusted me with a reasonable amount of creative freedom. Based on how long it takes to complete this student testimonial, my client and I discussed additional projects we would like to tackle. It’s my goal to make that happen.

Client Communication :
Our communications methods are email, face to face, phone, Skype. Intentions of emailing mostly 2-3 times weekly. Face to face as needed. Client expressed willingness to use Skype as well. Frequency may increase as needed due to issues needing to be resolved.

First Meeting Accomplishments / What still nees to be done -
We accomplished many goals at the first meeting. We met with client face to face and one team member on Skype, which worked well. We were able to go through client packet and discussed the various goals. What is there organization about, who is the target audience, what support networks do they have, and how can we best utilize their current content. Also discussed use of platform, Word Press or DreamWeaver. Story board has been created and needs to be reviewed further with team members and client. Client was given an introduction to a design site which they can interact with to see design, media, and content. As well as a contact section with team member information. Client was shown design sampler, need to decide on color. Designer working with Client to resolve color issue with in a week. Time line was show to the Client and is part of the design site. Future face to face is listed on time line.

Client Communication Plan:
The Client is going to have open communication and will be interacting bi-weekly if not more. Additionally, design site is setup as a point of reference to review materials as needed. Completed progress is updated through the design site. Client has been very responsive and responds with in 24 hrs. via email. Client just needs major milestones. Wants to be able to maintain, but leaving in our hands as far as design and placing content. Color is main concern.

Lisa Byrnes from the Petaluma Educational Foundation group from the class submitted the Client Initial report

Client Communication :
My team had a face to face meeting with the client once so far and we regularly email her.

First Meeting Accomplishments / What still nees to be done -
Every team member asked the client questions regarding their job position. I asked the client about multimedia elements and she said that she would like some photos taken and video filmed. The content developers of the team have been working closely with the client making sure we have all of the content needed to build the site.

Client Communication Plan:
The client will be updated weekly. The client has been responding to our email at a reasonable time. We want the client to be involved closely with the details of the site so that we really understand what the client wants.

Any Problems or Concerns:
Nope.


Brian Tietz from the Extended Child Care Coalition group from the Business of Web Design class submitted the Client Initial report

Client Communication :
I have met the client at our first client meeting and have also sent and received several emails from her, with a frequency of at least 2 a week. I have also contacted two different people for information on the hosting being used for the website.

First Meeting Accomplishments / What still nees to be done -
We talked about the types of programming that we could provide, and asked if there was any she already knew that they needed. We need to exchange information on the hosting environment, setup pay pal and google calendar in their name and also setup and then train on their usage. No unfinished goals.

Client Communication Plan:
The client will be updated weekly for the project updates. The client will respond within 2 days of an email. They really just want to know the major milestones.

Any Problems or Concerns:
No problems as of yet.


Roberto Vargas-Tapia from the Salvation Army: Double Punches Club group from the Business of Web Design class submitted the Client Initial report

Client Communication :
I have had face to face the location where they provide their services. Email has also been the other form of communication.

First Meeting Accomplishments / What still nees to be done -
The first goal accomplished at the meeting was know what type of logo to keep or combine together?How the donations would work for the site? Also to get to know the location and where the non-profit services are provided. Goals still to be met are to have another visit where participants are actually there for me to tape or take pictures of. My deadline for the pictures and video were not set until equipment was available.

Client Communication Plan:
The client will be updated regarding the project thru Email The client responds with in business hours. Yes they want to be involved so in the future they can maintain the website by themselves.

Any Problems or Concerns:
I need equipment for video and pictures since I don't have any. I have emailed Linda, I'm just waiting on her response.


Alec Primavera from the Martial Arts Youth Institute group from the Business of Web Design class submitted the Client Initial report

Client Communication :
I have communicated with out client through email and a face to face meeting.

First Meeting Accomplishments / What still nees to be done -
We accomplished our introductions to the clients. We met with the developer of the existing site. The client was given our contact information and access to the website development page. Beginning design templates were shown and the client will approve/deny/adjust after evaluation. The next meeting was established.

Client Communication Plan:
The client will be updated at least once a week. They will respond within 2 days and will make decisions on color and design/content.

Any Problems or Concerns:
None so far.


Darrell Kopriva from the RECOURSE Mediation Services group from the Business of Web Design class submitted the Client Initial report

Client Communication :
The team and client have set email as primary communication and calling on the phone as back up,then we set a date and time for our next meeting which will be the content meeting and update on site progress. As far as the team itself, we are emailing primarily 2 to 3 times a week and will meet on skype as needed.

We got all of the goals on our agenda met and more during our first client meeting. We have set some deadlines as to access to client web accounts and to our next face to face meeting. My teram believes we walked out of that first meeting pleased with what we had accomplished.

Client Communication Plan:
Around once a month or so the client will be updated with progress and anytime the client wants to get an impromptu update, we advised them they can contact us and we would provide the update. The client stated she checks her email atleast once a day. The client set out exactly what they were set on as far as the finished look of the site at the first meeting. Any other programming or design issues they stated we have creative rights.

Any Problems or Concerns:
None. First meeting went very, very well.

Pretty much the client was so exited and happy with everything She was pretty happy with the new logo that I designed and with the template that I created. The only think that i need to change is the color red. She said she cannot use red or blue because of the gangs colors. We decided that the best option for them is to use a WordPress site since it it easy to maintain and update and is a free service. The didn't know if there host support WordPress .

He will communicate with us as she need it. She will get a reply from us not later than 48 hours. They are going to be involve with the major milestones.

Any Problems or Concerns:
We don't have any problem but I was just wondering. I'm the only one that use WordPress in the group. I hope this is not so much precision for me.

We've had a face-to face meeting where we discussed the direction of the project in detail.

We introduced ourselves and talked with the client to get a clearer picture of what the site is going to look like. We also obtained files containing content for the site.

Client Communication Plan:
The client will be updated when important goals are met, and when more details are required. The majority of client contact with continue to be routed through our PM, and the client should respond within a day.

Client Communication :
We had our face-to-face meeting on Feb 6. We also have commuicated through e-mail 3 or 4 times.

First Meeting Accomplishments / What still nees to be done -
At the first meeting we found out what the client wants to keep on the site and what she doesn't want on the site. She wants the site to be educational first and through this education lead people to employ thier services. We still need to get the user name and password for clients wordpress. She will be calling us this week with the user name and password.

Client Communication Plan:
I client hates the web site and said it rushed up. She wishes to have limited design input has long as content ( what the wish to say) is convey. E-mails will be respond with in 24 hours. The client is a major milestones client.

Any Problems or Concerns:
I thought the client would have call as by now with the user name and password.

We have had one face-to-face meeting with our client.

First Meeting Accomplishments / What still nees to be done -
We got to discuss most of the major changes that the client wants done with the current website and that we will be using Wordpress to create the new website. We also got most of the content for the website. We plan on communicating with the client on a regular basis via email and meeting with her when necessary.

Client Communication Plan:
We will be emailing the client during every milestone and send weekly emails regarding the smaller details of the project. The client should respond within 24 hours.

No.


Stephen Ferguson from the Russian River Keeper group from the Business of Web Design class submitted the Client Initial report

Client Communication :
My team has had face to face contact with the client, but I was not able to make the first meeting. I have been in contact with her via email, and phone. The frequency has been a few times a week thus far.

First Meeting Accomplishments / What still nees to be done -
The goal accomplished were vast. We hammered out what exact revisions to the clients current site must be made, as well as the direction she wants the site to go. We also came to the conclusion that drupal is our set method of producing the new site. Some deadlines for unfinished goals were set. For instance, getting access to the clients drupal tools on their server were set for next week. Myself, the other content developer and the designer all still need to soak our feet in drupal and get a real understanding in it. We also established that in a week the content will be handed off via cd for us, the content developers.

Client Communication Plan:
The client will update every week. (If not more.) The client will respond via email within 24 hours if possible. They want to be involved in the details.

Any Problems or Concerns:
Learning how to install and use drupal is the major one. I have done a lot of research but am still dreadfully confused in regard to the program. Any resources would be helpful.

Barry Lindstrom from the Equi-ed group from the Business of Web Design class submitted the Client Initial report

Client Communication :
As a CD, I have had only slight direct contact with the client at this point, other than attending the initial meeting. Most of my contact is through the PM and other team members.

First Meeting Accomplishments / What still nees to be done -
We became familiar with the clients and obtained agreement about who would provide content and when. The client took the goal of providing the current site data and their pictures to us, which they have done. We are still waiting for the additional content for the site, which the client as agreed to provide.

Client Communication Plan:
We will update the client 2 or 3 times per week, and they will answer within 24 hours. My understanding is that the client will be involved in details, and will expect regular updates.

Any Problems or Concerns:
No problems.


Karrie Painter from the Extended Child Care Coalition group from the Business of Web Design class submitted the Client Initial report

Client Communication :
I have had communication with our client Missy Danneberg, with Extended Child Care Coalition three times prior to our first client meeting, which was held on February 2nd. During that time I coordinated our meeting time and location. Our communication was on the phone and followed up with an email. Our team met with Missy on February 2nd. Brian, Skip and I were present and Ron was there via Skype. Ambrietta and Nesho could not make it to the meeting in person or by Skype. I sent everyone a summary of the meeting and what was discussed. I then sent Missy a follow up email letting her know that we enjoyed getting to know her and Daria and that we were very excited to be a part of her website creation. Since then we have had correspondence back and forth by email as she sends us content for the site. We have had contact with her almost every day since the meeting on February 2nd.

First Meeting Accomplishments / What still nees to be done -
We really got a feel for how they wanted there site to look, what they want on the site and how they wanted the site to function. They provided us with two CD’s they would like our IMD to review and give suggestions on. They also indicated that one of the CD’s is ten years old and needs to be updated. They would like the Content Developers to take most of the information off the website with the exception of any new material they want on the site, which they will provide us thru email. Our programmer received the parent packet and some information in order to start working on some form solutions that they had wanted. I think that we accomplished a lot in the first meeting. They gave us enough information to begin putting it all together. There are many things that still need to be done. We had a team meeting February 7th which went very well. We discussed each persons role and what they will bring to the table by Friday February 7th. Each person was assigned a specific correspondence to the client regarding a specific task that they will be presenting on Friday to myself, then they will update the client on their progress. We came together as a team and are really starting to connect. Goals accomplished at first client meeting: Established a warm, friendly and respectful relationship-Missy was excited about creating the new site with our team. Clarification: Each person created questions they had for the client based on their client packet and additional information. Once we were able to sit and talk with them we were surprized at some of their responses since it did not correspond to how they answered the questions in their client packet. Storyboard or Flow chart: Will be completed by Friday Feb. 10th. Content: We were given some brochures and two DVD's the rest they said can be taken from their website. They also sent us a parent packet that they would like on the website. Client Communication Plan: Client would like to be updated by email and would like updates as each page is being created. Client Info Packet: I provided the client with a 3 ring binder that contained a client calendar, contact information, each persons role in the web design process and an Agenda for the meeting. I went over each item with the client and highlighted deadlines. Design Sampler: We gained a lot of great information when Ron took us through the Design Sampler. It was very professional and the clients enjoyed the presentation. Programming Sampler: This was not available at the client meeting but will be done by Friday Feb. 10th. Next meeting: Our next update with the client will be Friday February 10th. She would like us to email her our updates. I offered to meet with her in person but she said email would suffice.

Client Communication Plan:
How often will the client be updated regarding the project? Client will be updated every few days depending on the progress of the project and authorizations needed for us to move forward on certain aspects of the site. How quickly will the client respond to the team's email? Within a 24hr. time period. So far they have been great with getting us information. Will they be involved with the details, or do they just want to know the major milestones? They want to be involved with some of the details as well as the major milestones. They want to see each page of the website as it being developed.

Any Problems or Concerns:
Being New to Skype has been my only challenge so far. Working with so many different schedules has been an interesting journey. At this time I do not believe that there are any problems or issues

We had a great face to face meeting with our client where we sorted out many different things and have also had a few emails back and forth.

First Meeting Accomplishments / What still nees to be done -
We accomplished quite a bit at the first meeting. The main thing was figuring out exactly what it is that they want. Some other things we found out was features they want, connecting to their hosting server, they wanted to basically redo their entire site, making it combatible with dreamweaver, among other things. Some things that still need to be done are getting a yes or no on design pieces and figuring out if they want to move forward with using social media sites. I dont think we had unfinished goals.

Client Communication Plan:
How often will the client be updated regarding the project? The client feels comfortable with emails from the “Project Manager” about updates to the site at least every 2 weeks or sooner when there is a major milestone. Of course, this will probably be more often as we go along. How quickly will the client respond to the team's email? Within 24 hours. Will they be involved with the details, or do they just want to know the major milestones? Just want to know the major milestones.

Any Problems or Concerns:
I dont think so. Not yet anyway.

According to our project manager, he just received a returned call back about an hour before class. It seems as the client wants the face to face to be next week.

Luigi Risi from the Hispanic Chamber of Commerce group from the Web Content Practicum class submitted the Client Initial report

Client Communication :
Content developer has had communication through e-mail with the client once a week.

First Meeting Accomplishments / What still nees to be done -
Web content developer didn't attend the first meeting. There is coordination with the web designer to manage the content within the page. All coordination is made through e-mail, and Facebook, so far.

Client Communication Plan:
The client might look at the project web site at any time. The web page is under construction, and being updated frequently. The client might modify the content and design. Consequently, the web content developer is pending for any possible improvement or decisions made by the client to work on.

Any Problems or Concerns:
There is no problems to report.


Erin Walsh from the Sonoma County Family YMCA group group from the Web Content Practicum class submitted the Client Initial report

Client Communication :
So far we have had our first face to face client meeting. Everyone in our group and the key contacts for the YMCA were present. I have also have a follow up contact with the YMCA through email to receive a manual on their logo for the company. They agreed to send me the manual so I could start researching the regulations for using this logo and their national company colors.

First Meeting Accomplishments / What still nees to be done -
We accomplished a lot during this first meeting. We were able to go over the client package and receive some good clarity on what they are hoping to accomplish, how involved they would like to be in the development of site, and how much freedom I have in the design. They were made aware when the first 50% of the content was due to us. And I told them I would be in contact about a face to face meeting with a design sampler to go over with them.

Client Communication Plan:
We stated that we would give an update every 2 weeks or so. As well as any major milestones and due dates like content and proposals. They mainly want to be updated when there is new information to show them. We all clarified that we would get back to emails within 24/48 hours or quicker if the issue demands so. We really would like us to have full design privileges and they trust that we will have some great ideas to show them.

Client Communication :
I have not met the client personally but our PM (Karrie) filled in what happened at the meeting. I do not have any questions for the client at this time.

First Meeting Accomplishments / What still nees to be done -
I think that a lot was covered in the first meeting and everyone had a chance to ask questions. There is a basic understanding of what and what not is wanted. An agenda was given to the client and the PM (Karrie) will be setting up a follow up. We each individually will be contacting the client to get a personal one on one but a summary/ CC will be done to the team members. We set up team deadlines for this Friday.

Client Communication Plan:
The client would like to be updated through each step; she wants to be involved in all aspects except simple things like spell check. We will be communicating by email and emails should be responded to by the next day.

Our team met our client: Russian Riverkeepr. We talked about over all. I ask about layout issues.

I understood what she was looking for. But I got confused after meeting. I need to set up another meeting with my client.

How often will the client be updated regarding the project? She did understand about it. How quickly will the client respond to the team's email? Next day, she always check her e-mail. Will they be involved with the details, or do they just want to know the major milestones? She did understand about it.

Jennifer Maurer from the Horses Building Communities group from the Web Content Practicum class submitted the Client Initial report

Client Communication :
I met with the client, Horses Building Communities(HBC), for the first time in our first client meeting last Thursday, February 2, 2012. We met at the library at SRJC for a 2 hour team/client meeting. I have also had several emails back and forth with Diana of HBC. I have been CC'd on emails from my teammates to and from Diana as well. I have a meeting set up with Diana to get content for the site on February 17, 2012. We also have another meeting set up with Diana as a team on March 8, 2012 for the Web Proposal.

First Meeting Accomplishments / What still nees to be done -
We have the story of how HBC came to be. We set goals to start working on the design and content of the site. We will also start working on the logo design. The Storyboard was approved by Diana at our first meeting. We went over the Design Sampler which will be discussed further at a future appointment. Options were discussed for the programming of the site. An agreement was made that 100% of the content will be provided by Diana. We also agreed that I will ask Diana questions to help guide her with the content that she needs to provide. Diana will get images to me on a CD. We set deadlines as well as set up meeting times for Caroline for the design and logo, Jen for the content, and the team for the Web Proposal.

Client Communication Plan:
The client will be updated weekly on the project, as well when an pertinent information comes up that needs to be shared. The client will respond within a timely fashion to our emails. (She is responding within 24 hours) She will be involved with the details in the beginning as in providing the content for the site and approving the design and logo, as well the programming features of the site. After this point Diana would just like to know the major milestones.

Any Problems or Concerns:
Any problems that have come up have been dealt with appropriately. We are doing well.


GINA LA FORGE from the Equi-Ed Equine Education group from the Business of Web Design class submitted the Client Initial report

Client Communication :
We had our first meeting with the client in person. We have also contacted client by email and had second meeting with client and designer by skype.

First Meeting Accomplishments / What still nees to be done -
I think our team established a good relationship with the client. Issues from the client packet have been clarified and the first draft of the flowchart has been completed and sent to the client with the approval of the team. A second meeting took place between the designer and client to show the designer sampler, explain the flowchart and get approval for the overall navigation structure of the site. The client has been given a calendar and we are expecting to receive at least half the content by 02-14-12. The client has been given team contact information and there has been communication between the client and the team.

Client Communication Plan:
The client will be updated 2-3 times per week on the project. The client will respond within 24-hours. The client will be involved in details. Milestones will be part of the update.

Alex Aspinall from the U.S. Green Building Council - Redwood Empire Chapter group from the Business of Web Design class submitted the Client Initial report

Client Communication :
We have had quite a bit of communication so far, mostly through email. Emails have been coming every other day or so. Sometimes, several emails in one day. We have spoken on the phone three times and have have had one face to face meeting. Another face to face meeting is scheduled for this week.

First Meeting Accomplishments / What still nees to be done -
Our entire team met with the client and had an opportunity to ask questions. Questions were sent to the client ahead of the meeting. Drupal was a hot topic of discussion: is it right for them? Can we do it? What do they know about it? Deadlines were set to get the site map worked out and to receive 50% of the content. We worked out that we will be using Drupal to manage their site.

Client Communication Plan:
The client will be updated several times a week by email and/or phone. The client is comfortable being called at home. The client is expected to return emails or phone calls with in a day or so. The client will be heavily involved throughout the project due to complexity.

None! It's going well so far!


Scott Hubbard from the Petaluma Educational Foundation group from the Web Content Practicum class submitted the Client Initial report

Client Communication :
The communication tools the team and the client have set up are the following: 1. Email: This is the primary form of communication with the client and it was agreed by everyone that 24 hours is enough time to reply to an email. 2. Face-to-face: This is the secondary form communication the team and the client have agreed to use. We have already set up 3 face-to-face meetings for the future; 2 web content meetings and 1 meeting for web proposal signoff. 3. Skype: This is the second type of communication tool we have all agree to use; however, this tool is to be use on an as need basis.

1. Client Communication :
Our PM is the only one who was in contact with the client before the team meeting. She sent the questionnaire and the agenda ahead of time as well as asked specifically for her to bring media, materials we would need to build the site. I felt prepared for our first client meeting. The team met with our client in person. I was on Skype. Stephanie Schack was kind enough to bring her laptop. We did end up turning on video which was very nice so I could see the client and participate more fully in the meeting. The group was _really_ good at checking with me and giving me opportunities to speak. (I really do feel lucky to be part of this crowd.)

First Meeting Accomplishments / What still nees to be done -
We really achieved a lot in this meeting. Our client is on top of things and in tune with computers and technology today (she used to work for HP - go Kyle for asking about her background). Karen, the client answered the questionnaire before we arrived so Sue, Kyle, myself, the others were able to focus on quite a few details. We talked about using word press, who would maintain the site, what she wanted to achieve. We talked more about the nuances of PALS' audience.

Client Communication Plan:
The client will receive a weekly update and possibly other correspondence depending on our progress. She will respond almost immediately, I would imagine based on experience. But for sure within 24 hours. As for details, Karen will fall somewhere in between - she is willing to let us do our job, but she does have a few other people to please in the organization, so she will be checking in on our progress and also sharing items with a few other people. Our PM will really be in charge of most communication with the client (though Karen doesn't mind if we contact her individually).

Any Problems or Concerns:
I don't have any issues to discuss yet. I think we may need some guidance with a few of the interactive pieces, the funding chart for example (though I'm fairly certain I will be able to figure it out).

I have had correspondence through email (approximately 5 times)as well as on the phone (once). We (the team) have met with her for the initial meeting Monday afternoon at 2pm.

I established a comfortable environment, answered all of the questions that were given to Kate prior to the meet. Effectively described the number of pages on the current site and how many pages they would like. Established a communication plan; exchanged contact information. I was not able to give the client a calendar, but I did arrange to email one to her the next day, and did as promised. Did not establish a time for the next meet because there were too many variables that the meet depended on so we established that it would be satisfactory to schedule a meet for some time next week with Yoshi(des) and arrange for specific date and time a couple of days prior to the meet. We were not able to collect any content but we did make arrangements to acquire photos this week and content by the end of the week (which she changed to Monday due to an event).

Client Communication Plan:
The communication plan is as follows: primary source of communication will be phone or email. She already responds to my emails VERY promptly, so I did not cross that bridge, although I did ask that she check and respond to her emails on the weekends if there was an inquiry that needed her attention. She agreed. They are happy knowing just the milestones of the project.

We had a face to face meeting with the client yesterday. We visited her office in Petaluma, where we all sat down and had a practical business-style meeting regarding many details of their website.

One major goal we accomplished yesterday, in my mind, was to actually meet the client and put in face time. For me, it has taken some of the anxiety out of the project. The major goal that we accomplished, from the web development aspect, was getting most of our questions answered regarding PEF's website, and getting a feel for what she likes on the design/programming side.

Client Communication Plan:
Janet said that she wants to be a part of the process and to be updated with our status as needed, but she also doesn't want to be over-communicated with (which she said in a very joking manner). She also said that she will do her best to respond to our emails in a timely fashion (within 24 hours), which is no different then she has already done. She always responds to anything we send her rather promptly.

The only communication I've had directly with the client was in our face to face meeting, which was very productive. Since then, the PM and the Designer have been communicating by email and copying the rest of the group.

The first goal for me set at the meeting was to create an example of a photo gallery which would serve as either a slide show or a controllable gallery with thumbnail images. We started off quickly with a client meeting. Although not everyone attended in person and I myself had to leave early to get to work, I felt it was productive and we are making good progress. Other than previous emails setting up the face-to-face meeting, this is the only communication we have had thus far.

At our first meeting, each team member came had questions prepared. I became more familiar with my role as Content Developer, and I am going to start by incorporating the content already on their current site. Our programmer Brian learned that they have some forms that need to be redone and their PayPal needs to be set up with their bank. Our designer Ron presented a very nice scheme which our client liked. We have not established any hard deadlines as of yet, but we have a team meeting this evening where I am sure we will make some.

Client Communication Plan:
The client should be updated at least weekly, if not twice a week. They will respond to our emails within 24 hours, and their involvement falls somewhere in the middle, beyond knowing just the major milestones but not too heavily involved in the minor details.

Any Problems or Concerns:
So far we have only had some technical problems involving Skype that we have resolved, and the only other problem is our conflicting schedules, which is something we have to just work around. Karrie (our Project Manager) has done an excellent job of coordinating all of us.

Initially I called Sara Randall, our main contact person and was able to leave a message on her voice mail. I then sent her an email explaining our project and asking for contact information and available meeting times. She returned my phone call the following day and we exchanged information and set up the first meeting. We have been contact by email several times since, prior to our initial meeting on Thursday Feb 2.

We met with the principal people concerned with the project at the Hispanic Chamber of Commerce, Sara Randall, Peggy Flynn, and Donna Zapata. Myself, and Andrea Raschke represented our team. I presented them with the calendar for the project as far as the class is concerned. We discussed problems with their current site and Andrea answered questions they had concerning Joomla, Andrea’s suggested solution. We seemed to resolve their concerns about Joomla and how it would fit their plan. Andrea explained what information she needed concerning their provider, and they were able to send her the information. We agreed to a contact plan as to whom and where content would be sent. We stressed which content was needed first to build the structure of the site and which could come later to fill the content of the pages. They were to quickly come up with a site map showing which pages of their current site they wanted, which they didn’t, and anything new they felt was needed.

Client Communication Plan:
Describe the communication plan for the client. I have emailed both teams the latest contact information. The Chamber’s team will be sending files, content, and information to a link that Andrea will place on her website. How often will the client be updated regarding the project? Upon their request, and as we feel we have met a milestone worthy of mention. How quickly will the client respond to the team's email? Asap. Client Communication :
Our PM Rich emailed the client and they responded back to give us a day and time for our initial meet up. On Feb 2nd at noon we met up with Michelle Head the YMCA director of operations and Claudia the YMCA IT Professional and Laura the YMCA Marketing official we spent 2 hours discussing the project in person. We are free to email or call the client whenever we have questions.

The goals we accomplished were covering all the information they put on their inital application on what they wanted for the website. What still needs to be done is the work, mostly design work because the webpage needs a facelift. The client feels comfortable with emails from the “Project Manager” about updates to the site at least every 2 weeks or sooner when there is a major milestone. Most of our team met with our client, and I was connected to the meeting via Skype. Our meeting was scheduled from 2-4pm, and it seems we used up the entire time. Our project manager was also in contact directly with our client through phone and e-mail.

We set out to get a good sense of what the client wants/doesn't want, how involved the client wants to be, resources they were able to provide us, and answers to all of our questions. From this point, we need to process all the information with respect to each of our jobs/tasks. After, we need to follow-up with the client to answer any questions or get further information. There wasn't any firm deadlines that were created at the first meeting, but the client was open to follow-up messages or meetings.

Client Communication Plan:
The client would like to be involved (from the design perspective) on some level, at least viewing the progress of the work, but not necessarily every detail. From the conversations our project manager had with the client, they seem very quick and responsive to messages regarding our project.

Any Problems or Concerns:
Not necessarily problems, but I just need to get used to Skype as my main form of contact with team, client and teacher. Sometimes sound is garbled up or delayed, not sure if there's much I can do on my end.

Today we had our first face to face meeting with the client. This is the first time that I have spoken with her, however our PM Stephanie, has had regular contact with her.

Our client would like weekly updates and when milestones are met. She is also very open for communication whenever it is needed. The client will respond within 24hrs of receiving an email, if not sooner. Our client will be fairly involved in the process. She gave us a detailed list of what she'd like in the site, as well as information as to how they'd like it to look. My perception is that she took the "blueprint" as far as she was able to, and would like for us to pick up where she left off.

We had a face to face communication with the client. It was a great experience and I think went very well. It lasted about one hour and thirty minutes. It was back and for with questions and answer.

A big goal we accomplish as a contend developer is that the client will give us 100% of the content by the end of the month. One thing that is need to be done is for her to chose a template from Drupal. Deadlines have been set between the designer and client to have this done.

We will update the client a every week if everything is running smooth. If problems arrived we will be communicating by phone and email to solve as soon as possible. The Client will answer email as soon as possible and she even agreed to check her email on the weekends. They are more interested in knowing the major milestones.

Well as you know our client wants to have their website on Drupal and they are pretty set on that. Our whole team is very new to Drupal and have no experience with Drupal. Although we all are very exited to learn a new part of web design it brings us a new challenge and for that we are a little preoccupied.

Clarified the info in the client packet. We learned more about the organization. Got from 15 programs down to maybe 4, and found out priorities. Need to figure out some logistical problems with a membership login, it may not be feasible. Talked about Drupal pros and cons, possible problems that might arise with maintenance. We got a lot of design direction. What needs to be done is learning about Drupal. I have poked around in it and it is not as easy as WordPress. We also need content and photos. A decision from them on site map is needed (which they said would be 4-7 days) so we know how many pages we're looking at.

Client Communication Plan:
The first 2, I don't really know. I guess we forgot that. They will be very involved in design and decisions about programs and the CMS used.

Any Problems or Concerns:
They want a members only login area, but members can only sign up with the national organization and this site is for a local chapter. I have many questions about this and will have to speak with their admin person and get an idea of what kind of member records/ database they have. It may turn out to be impossible to give them this feature. The only other thing is how to handle Drupal. I have spent maybe 15 hours on it, and I still can't figure out how to separate the admin content and menus from what the site user sees. I have been watching Lynda.com videos and using Google and Drupal support forums and documentation.

We have had great communication with our client. So far we have had a face to face meeting, with another one scheduled for next month, we have done a lot of email, and we have talked about using Skype in future meetings.

We actually accomplished all of the goals in our first meeting. The only thing we are establishing now is our hosting and development platform.

The client seemed like they didn't want to be updated to much about the project, but definitely kept in the loop on key parts as we go along. The client seems to be responding within the same day or by the next day so far in all email contact. Diana does want to be involved with the details, but not all of the minor details. She mainly seems to want a summary of where we are, what we are doing, and how it is working with her website.

Client Communication :
Initially John called Sara Randall, our main contact person and was able to leave a message on her voice mail. he then sent her an email explaining our project and asking for contact information and available meeting times. She returned his phone call the following day and they exchanged information and set up the first meeting. We have been contact by email several times since, prior to our initial meeting on Thursday Feb 2. Since then, I had email and exchange files with information for the Host and DNS.

We met with the principal people concerned with the project at the Hispanic Chamber of Commerce, Sara Randall, Peggy Flynn, and Donna Zapata. John Zeni and Andrea Raschke represented our team. We presented them with the calendar for the project as far as the class is concerned. We discussed problems with their current site and Andrea answered questions they had concerning Joomla, Andrea’s suggested solution. We seemed to resolve their concerns about Joomla and how it would fit their plan. Andrea explained what information she needed concerning their provider, and they were able to send her the information. We agreed to a contact plan as to whom and where content would be sent. We stressed which content was needed first to build the structure of the site and which could come later to fill the content of the pages. They were to quickly come up with a site map showing which pages of their current site they wanted, which they didn’t, and anything new they felt was needed. I got a good idea of their needs and how they would like their website to work and look.

Client Communication Plan:
How often will the client be updated regarding the project? Upon their request, and as we feel we have met a milestone worthy of mention. How quickly will the client respond to the team's email? Asap. Will they be involved with the details, or do they just want to know the major milestones? Certainly they will be involved in choosing the design and content going into their site. But the construction will be our designer’s project.

Client Communication :
On Wednesday, Feb 1st, we had a face to face meeting with our client, Maria Lopez. All of our team was there. On Friday, Roberto (IMD) and I (Joan, DES) also went to the place of business for Double Punches at the Salvation Army. Our client, Maria showed us all around and introduced us to the Captain, who will have some ultimate decisions on the end product of the website.

We accomplished quite a bit. Some of the highlights are: Client specified the menu items wanted for the site; we talked about the logo redesign; determined the main purposes of the site - i.e., getting donors and new members, informing the community and parents, and connecting with the students/members with event an class info; Maria would like a form for new users to contact directly to her email address; We also discussed using WordPress. Their current site is WordPress and this would be the best way to pass content management to the client when we are finished. Maria also mentioned that there will be others involved in the completion of the project, which are: The Captain, The Director, and Jose the tech guy.

Client Communication Plan:
Client will be updated every week. Response within a few days. Maria will be involved with the details, and will get a chance to approve design and content along the way.

No problems! I think our group has a great leader (PM) in Michael, as well as a perfect mix of talent, skills, and knowledge from all the team members.

So far we are at information retrieval, making color changes, etc. Ron presented a website that Missy really liked called Women's Recovery Services. Good start for us. Client's email reply rate was not discussed yet. Concerning milestones, vs details, I gathered that Missy needs to approve all rewrites, but is OK with fixing unsupervised grammatical errors. She obviously will be approving all changes, since she was bothered by their current color scheme and overall structure of the site. Concerning some details we may have to be prepared to instruct the volunteer that helps update the site. More to come.

We met once as a group in-person and via skype/phone. Our PM, Cecilia, has been in contact with her frequently through email, and has stopped by her house. Also, Debra is going over to her house to show Ani how to use Skype. Our PM is going to send Ani weekly email updates of our progress, and whenever we have questions, we run them by our PM who send them to Ani so we don't ask Ani the same questions.

We got a better picture of what Ani wanted and what La Voz was about. This helped a lot for the design and layout of the website. We also got more information about the content, let Ani know about the content deadlines.

Client Communication Plan:
Ani, our client, will be sent a weekly email update, and if we have questions outside of the update, we'll send them to our PM, to send to Ani, so Ani won't get flooded with repeated questions. Ani will respond within 48 hours, although she usually responds within that same day. Ani is involved with the details.

Any Problems or Concerns:
There was an incongruity with Ani's desires. She wanted us to build the website with Dreamweaver in mind so she could update it, but then she said that she didn't want to maintain it at all, and wanted to pass that on to us or someone else. A lot of the ideas we had were being lead by whether or not she could update it, but if she's not going to be doing that job, then that could change a lot of what we can do with the website. So we're meeting this Friday as a group to discuss that, as well as any other questions we have, and we're going over Bill's design. Then we'll forward on any questions we have onto Ani after our meeting.

We've been blessed with great communicator for a client. We've emailed back and forth, spoken on the phone and met in person. Email is the client's preferred method of communication. I'd say the frequency so far has been about twice a week.

In my opinion, we had a successful first meeting. Most of the goals were accomplished. There were a few items on the agenda that we didn't finish discussing, although that was due to offering the client options that he didn't realize we could do for his site. We need more photo content and the client advised he would get that to us by Friday.

We discussed how often the client wanted to be updated. He didn't really have a preference due to the fact that the client calendar advised him of our milestones and our communication this far has been very good. I send him a status report once a week.

We had our first client meeting yesterday. Three members of our team met face-to-face, while I joined in on Skype. Our PM had been in communication with the client (mostly by email)prior to this meeting and had apprised us all of his enthusiasm and willingness to make the build process as painless and smooth as possible for both parties. Skype worked surprisingly well for this type of venue. I really felt like I was right there in the meeting with the rest of my team. The sound quality was fantastic.

First Meeting Accomplishments / What still nees to be done -
We talked a lot about what t he client wanted out of their website; who they were targeting and what feelings they wanted to evoke from their visitors. They expressed their desire for welcoming and soothing colors and/or scheme for the site. We also talked about how to integrate donations as well as plugging them in with state and federal government to verify and bring a feeling of security for their visitors in terms of their 501c3 non-profit status. The client also talked about incorporating videos and a calendar of events. I expressed my own desire to have all the website content as soon as possible to assist in the build. The client agreed to compile all the content they had and either burn it to disk or send it electronically by Friday (possibly using our PM as a middle-man). I touched a bit on the hand off and the training I will be providing the client for the post-build maintenance they will be handling themselves.

Client Communication Plan:
The client liked the idea of being apprised of the status of the build once-per-week. Our PM agreed that once a week would be sufficient to keep us all on the same page. The client stated that they will respond as soon as possible to emails they receive. I think the entire team got the feeling that the client is ultimately trusting our judgment in terms of the build and the nuances that come with it. They seemed to be focused more on major milestones.

None so far. The client was very easy to talk to and made all of us feel that our collaboration should be a relatively painless, if not enjoyable, process

We were able to know more about the organization and their mission. Each member of the team was able to ask questions pertaining to their roles and overall. The designer brought printouts of the websites the client liked to obtain clarifications. Both parties agreed on realistic goals, we have a better idea of the pages they need. A calendar from the class link was provided to the client via e-mail as well as a hard copy during the meeting.

The client will be updated as progress is being made, probably once or twice a week. The client has been pretty good respondig via e-mail very quickly so far (24hr) and also calling us if questions arised. She prefers email over other forms of communication, we will update her once a week (minimum). We also provided our client with the links you recommend for the client to see - includes the client calendar. We still need the content, I only received some of the photos.

Our client will be updated at least once a week. She will respond to emails within 24 hours. She is definitely a hands on client, but respectful and open to suggestions and ideas.

We just need to get the content, however I don't beleive this is going to be a problem. In the meeting she indicated to us that she would have it early this week. She seems very organized and motivated and I appreciate this.

Mainly our contact with the client has been via email, roughly about six or seven times per week. Also, last week my team had it's face to face meeting with the client.

We accomplished about 99% percent of our goals for the first meeting: we established a warm and friendly relationship; how to best contact the client(email); that the client desires to be updated weekly on progress; the client will respond to all emails within 24 hours; completed rough draft of the site; gained an idea of the clients sense of design as well as what they want their site to be. We did not however receive all of the "Content" from our client. We are scheduled to get it early this week. Yes, deadlines were set to be accomplished no later than the end of this week.

Client Communication Plan:
The client will be updated weekly on the progress of the project. The client will respond within 24 hours to my team's email. They just want to know about the major milestones.

Any Problems or Concerns:
Only thing I have to worry about so far is not having the content from the client. The client has been updating us of the status on the content and we should have it early this week. Other than that our client has been great to work with!

We had initial phone contact with the client. Then we had email contact with the client to set up our meeting. We then met face to face with the client for two hours. We followed up with email and phone to set our March meeting. Then we picked up collateral materials at their office.

We accomplished a lot on our first meeting. We identified the client as a flexible person who will be open to new ideas. We clarified the decision making process. We received answers to all our prepared questions about the site. One of the biggest challenges is site navigation and reorganization of content, so we will be meeting with the client next within 10 days to go over our proposed changes to site organization and design. We will need to have some areas rewritten and a few new content items that need to be completed by our March meeting.

Client Communication Plan:
The client will be updated as needed on the project, most likely on a weekly basis. The client has been extremely fast in responding to our email. Once we have our content structure and design go ahead, our client most likely will need only major milestone communication.

We got a vague idea of what they want their website to look like, but a good idea of what they wanted us to do - help them figure out what they want it to look like. We got a more accurate feel for who their audience is. We confirmed the information on their client information packet. We discussed the client calendar.

Client Communication Plan:
The client will updated regarding the project as changes occur. They will respond to email within 24 hours. They will be involved somewhat with the details, since they didn't have a real clear picture of what they wanted...they won't know it until they see it.

Any Problems or Concerns:
No problems, just assistance. In the class website it indicates that the team's programmer will assist the client in finding an web host. Our team does not have a programmer so who should help them find a web host? If it is one of the team, where can get get guidance in this regard?


Cynthia Maram from the Habitat For Humanity RESTORE group from the Business of Web Design class submitted the Client Initial report

Client Communication :
We met with the client in person last Thursday as a group and went over ideas for how they want to redesign their current website. They have chosen to use a Wordpress theme, but have not decided if they want to use .com or .org (.org costs money and .com is a free hosting service.) As the IMD, I have emailed with Kathy, the Executive Director twice and have set up a second meeting to gather photos that they want on the website. There was also a group email sent from Kathy with contact information for her and her staff. Earlier in the week I had a brief telephone conversation with Kathy to decide what day to meet this week and we decided on Thursday at 5PM. We have emailed a total of about 3 to 4 times and spoken on the phone once.

We decided that the client wanted a Wordpress site. It is still being decided on whether it be hosted by .com or .org. I also need to get the photos and YouTube embed codes for the media galleries (photo gallery and video gallery.) I have done research and found some links to photo and video galleries (plugins) that I will present at this week's meeting. No exact deadlines were set, but all of us in the group are completing our tasks to move the project along nicely.

The client will be updated as needed weekly. The client should respond within 24hours or 2 days. They will be involved in the details as we will give them updates. They have requested that we work together on the redesign.

We have had a number of emails and a couple of phone calls from the me(PM) before the initial meeting that took place on Feb1. Since the meeting I have seen one email from the client.

The entire team met with the client and each of us explained the roles we were to play in the project and asked questions that were not on the original client packet and to clarify some of the answers in the packet that were not too clear. We made the client aware of time lines and deadlines and what was expected of them. Overall the meeting went well and a lot was accomplished.

Client Communication Plan:
The communication plan for the client is exactly the same as the team communication plan. We asked them to check their emails daily and to respond within 24 hours. Phone calls would be made only when necessary and any communication should be cc'd to the entire team. So far that seems to be working. I will also keep the client updated with a weekly email sent on Tuesdays of the project's progress and any needs or concerns we have.

Team BirthPsych had our first meeting with the client on Friday at 6:00pm at Starbucks inside of Borders on Santa Rosa ave. It was a face to face meeting. We will be in touch for one more face to face meeting, and also email communication will be the main way of communicating from that point on.

First Meeting Accomplishments / What still nees to be done -
As a team we were able to get a good idea of what the client wants. Noah, our programmer was able to show our client the basic functions of the website. Marissa, our designer was able to pitch colors and styles. Miranda and I were able to get specifics on the nature of the content of the website. For me as a content developer, there is A LOT of work left to be done. Mostly grunt work on catagorizing a bunch of aritcles, journels, newsletters, and media. We did discuss certain deadlines that are already layed out by the class schedule, and we plan to meet again to leave time to meet those deadlines.

Client Communication Plan:
There will be a lot of communication with the client throughout the rest of the project. The content developers are going to need to be getting specifics on how and where to place the bulk of the content (articles, journals, etc.). The client said that email will be the best way to get a hold of her, and we expect her to be responding in 24 hours or less. There will be one more major meeting to really get a grip on how to organize the content, and then lots of times where we will touch base via email.

Our teams had a meeting with Face to Face Org on February 3rd. We did actually meet in person and talked about reviewing their current web-site and future plans. Jenny(Designer) statred to discussed the new design concepts. Richard (CD) talked about content: navigation problems, files, and new features. My job was gathering information about web galleries. At the time, I couldn’t find the web-gallery link, and couldn’t discuss it at length. However, the actual meeting gave me clarity on the total concept of creating a new web-site. Damian (PM) organized the meeting very well and prepared all materials we need to have.

Out team seems to have met the goal, because we did solve the initial concerns, but we still need to get document files, web-gallery, and design concept.

Well, we discovered that I had been given the wrong url for the site, and remedied that situation. We were also given the url's for sites that the boss liked. The client asked that we I gave our client a mock-up for our redo site and the client asked for something similar but without the pizazz.

Unfortunately we didn't discuss actual dates but agreed that communication would be by email. As designer she wants me to communicate with her when I make the modifications as discussed. Apparently, after she approves the plan of the site it must be approved by the boss and a board of directors!

We have had email contact as well as a face to face meeting. As the PM I am going to contact them once per week with an update and the rest of the team can contact them as needed to complete their tasks. All members of the team will cc each other when the client is updated so that everyone stays in the loop.

We gathered a lot of information about the clients desires at the meeting. They had already provided so much information, it felt much more like a second follow up meeting. We were able to skip the initial round of questioning and get deeper into the design and vision of the site. I left the meeting slightly overwhelmed with all of the information, but am confident that we are headed on the right track. We did not get to the design sampler and have yet to make a follow up appointment at this time. Our designer feels as though she has enough information to start a mock up. Since there were no unfinished goals, we felt we did not need to schedule another meeting with Face to Face until the mock ups are done or the need arises.

Client Communication Plan:
-The client will be updated by the PM once per week via email. The whole team has the freedom to contact the client as needed, but must cc the team when doing so. -The client said they will respond within 24 hours but will likely be much sooner than that. -Face to Face wants to be involved in the details of the site. During the past weeks that we've had, the other people in my group has been sending e-mails to the client to discuss when our first meeting would be, and what type of web site design we would go for. We met with our client face-to-face last Tuesday to discuss what we're going to be doing throughout the semester.

When we met up with our client last Tuesday, we talked about the type of website design that she would like to go with. We went over the actual website that's currently up, and some of the other sites that she would like to use as a good sample that we could work on for our website. Basically, she wants us to create a nice, simple looking website that's not filled with too much fancy integration like flash navigation or having a mobile version. It's the type of website that we could all put some time and effort to make.

Client Communication Plan:
The client will be updated with our project as soon as we get something on our website done. When the entire group takes a look at the website, then perhaps we could send her a sample of the webpage that we've been working on to see what she might think of it. That way, it'd be a good way for her to offer some suggestions on what we could add to the page.

Our team had a face-to-face meeting with the full team and the clinet. I attended via Skype (and when the lap top I was virtually in the meeting on ran out of battery, by phone) The client also shared some pictures and information with me via email when she was confirming she would be at the meeting. Originally, when setting up the meeting, I spoke with the client by phone (last week)

First Meeting Accomplishments / What still nees to be done -
We accomplished all the goals on our agenda, including sharing the design sampler, the programmers sampler, and the content flowchart. In the next week, the designer will be working with the client to nail down the exact color palette to be used on the site, and the content creators and programmer will be working with her to get the exact content structure. Our goal is to get these things done by the 2/14 class, so we can begin to put together the elements of the web proposal.

Client Communication Plan:
Since we are still working with the client to get the exact information that will be in the site, we expect the client will be involved with different members of the team 2 or 3 times during this week. Once we have the elements in place, we will be updating her each week. The client says she checks her email several times each day, and can respond within 24 hours. She expects to be quite involved in the details, particularly because the current information in her database needs to be tagged correctly for the new CMS.

Any Problems or Concerns:
Other than my wish to be able to actually meet the team and client face-to-face, and the technical glitches for virtual meetings that we keep having to work around, we're on track and working well together. I am very pleased with my team and our client.

Lots of email. Team email multiple times a day. Jackie, our PM has been great at this. Our client is very email savvy and is also quick to respond.

We met with client, reiterated the good amount of material already provided. I, as the designer, went over about 8 different "design sampler" sites, as well as discussed major design questions: COLOR: Stick with NAMI national colors or add in local colors? We are sticking to NAMI blue/gold SHAPE: Round shapes like logo or all square/grid? A mix of both. FONTS: Serif vs. Sans? Sans. Client gave us login to national design standards (yeah!) LAYOUT: Busy vs. Quiet? Quiet and organized. IMAGES: Faces or scenery? Both if possible with some event photos. Client gave us good outline of site structure. We will be working on storyboard based on that, with our CD analyzing for better use of content on pages. More content hopefully coming Feb. 7.

Client Communication :
I have had email, phone and face-to-face with the client to date. We initially spoke on the phone to set up the first meeting. I then emailed her 2-3 times, as confirmation of meeting time and date as well as to give her the necessary documents she needed prior to our meeting:contact info, calendar, agenda, questions, client overview, etc. She is now comfortable emailing the team members with specific queries within their area of expertise. We are emailing several times a week, and will meet again face-to-face (entire team) at the beginning of March.

First Meeting Accomplishments / What still nees to be done -
We accomplished all our goals at the initial meeting. Our client is extremely decisive and organized (she already had answered, in written form, all our questions for the meeting). There obviously will continue to be more detailed questions as we continue, but we now know who the players are on her team who are responsible for certain segments of the website (Restore, for example, tends to operate as a somewhat separate duchy). We know H for H wants one website, one domain name, Wordpress, lots of pictures and would like our help in redesigning the home page and reconfiguring the menu and its subcategories. Most the content currently existed will need little rewriting, but may be consolidated or even eliminated for clarity's sake.

Client Communication Plan:
The client will be updated as frequently as is necessary. Our IMD will initially work most with the head of Restore as she is the one most comfortable with the tech aspects of IM. Our Designer will work with the client's Exec Dir as will our Programmer. The CDs will work together at first, along with the Designer, and then, when questions arise, will contact the client. The client will, by her nature, be extremely responsive to all forms of communication.

Any Problems or Concerns:
I see nothing at the moment that could be a problem. I have a great team of competent, responsible people who are extremely motivated and punctual. The client is an organized person who moves quickly. The only slight issue that may come up is regarding content: the client and her team love having (literally) hundreds of photos on the site; we prefer a few photos that tell a good story. We may try to convince her otherwise, but the client's team seem quite convinced that showing photos of each board being placed in a new house is like a beautiful slo-mo film and worthy of inclusion. I disgree, but at the end of the day, it is the client's website and we will absolutely do what needs to be done to please her.

My team and I had a face-to-face meeting with our client, Maureen Wolfe, in a small cafe. Our project manager, who is 100% online, attended and conducted the meeting through our designer's laptop. Our client left the impression that she knows exactly what she wants and where she is going. Extremely cooperative, informed, and available. She is a professor at the school, and since we are all on top of emails, communication shouldn't be a problem.

We had an extremely productive meeting. Each member had their say, and we gained a lot of information in the direction we want to go. The meeting left off with constant communication through email, and a potential second meeting with the client, the content developers, and the programmer for more in-depth clarification in tasks.

Our client has had a website designed through this course before, so she is aware of the process we have to go through. We will keep in touch via email, responding within 24-hours. She seems completely dedicated and will have a hand in it the entire way. We will communicate at least weekly.

None whatsoever. I feel confident and comfortable with the direction our project is heading.

We've had one long face to face meeting with the client and several email exchanges. Actually, we're going to have to get some things done without her because she just informed me that she'll be hard to reach for a couple weeks.

Jane Daniel from the Petaluma Recycling Center group from the Web Content Practicum class submitted the Client Initial report

Client Communication :
The PM of our team contacted our client by phone and then with a follow-up email that included the article on non-profit web sites and our initial meeting agenda. He set an appointment for our initial meeting. He copied me on all emails to the client. Additionally, there were more emails from the PM to the client extending our meeting from 60 to 90 minutes at my request; sending him the list of questions that I had prepared for the PM and a question about the availability of internet access. The client emailed us a copy of the parent organization's new newsletter that contains an article on the PRC. Our initial meeting was followed with a "Thank You" and meeting recap by our PM. The client responded that he will review the document when he has time, plus he had a photographer come take some more pictures for the website.

We got acquainted with our client. We briefly toured the facility. We reviewed the client packet and confirmed the pages he would definitely need. We discussed web hosting and the domain name options. We discussed how the process would work and asked him for content, reminding him of the deadlines. We agreed on a communication plan. We bounced around some suggestions. We reviewed the questions we had sent him. We talked about the clients ideas for maintaining the site and his experience with HTML. We went through the entire designer sampler, which also included some logo suggestions. The designer got a real feel for what the client likes and does not like. We ended the meeting on time.

Client Communication Plan:
The client will get weekly status reports. The client will respond to emails within 24 hours. The client is extremely busy and expressed his desires for the site pretty clearly, so he will first be given the story board, then a couple of logo samples to choose from, then color samples, then the mock-ups, so I interpret that as the major milestones.

Any Problems or Concerns:
I don't for see any problems. I may have to rein in my personal tastes; remember simple, simple, simple; favor readability over artsy; plus not make the site look slick, but folksy. The client does not want the public to think the center has money to spend.

We had a face to face meeting with the client last week. Our PM has also been emailing and talking on the phone with the client and keeping the rest of the team in the loop. I talked with the client today to discuss setting up a time to go over the design and site organization.

We brought a list of questions and got answers. We learned that they are giving us leeway for the design. They described the desired tone for their website and we looked at other sites and what they like and didn't like. They do not have web skills and like the advantages a CMS offers. Content needs to be worked on. They need pictures for certain programs and some written content organized. We gave them some deadlines for content.

Client Communication Plan:
I am thinking we will be updating the client at least weekly as we progress, although I don't recall specific discussion on this or their response frequency. So far they have been responsive and I don't anticipate issues. They expressed interest in proof-reading. They said we could have flexibility with the design since they are new and have a minimal existing web site.

I think there is fair bit of content that needs to be written. We also need pictures for some of their programs.

Client Communication :
As the CD I talked to the client via email two times about getting a content on a compact disc. Our first meeting was a success. The whole team was there. Face to Face was kind enough to have a content CD ready for me.

Using an agenda prepared by our PM we covered many areas. Questions about-logo colors, navigation, photo gallery, splash screen, maybe some flash, drop-down menus, etc. I need to work on the content and get it in order which I will be sharing with the other team members. The Designer is working on a page for the client for color and navigation purposes. We have not planned another client yet.

Client Communication Plan:
Face to Face will be updated at least once a week but any team member may call or email and even visit client individually if needed with prior arrangement with client. Team members will always be cc'd when emails are sent to the client or if a visit is planned. The client will respond via email within 5 minutes if needed and we are free to call anytime. Face to Face is not available Thur-Sun. They would appreciate up-dates when-ever we feel it is necessary.

Client Communication :
The whole team met up with 2 people from the Roller Derby team at a Starbucks in Santa Rosa. We had a great meeting that lasted about an hour or an hour and half.

We talked about their current site, what parts of it they want to keep, what they want different, what they want to add, and what we can offer them. We took a look at some other sites and talked about features in those sites that they either liked or dislikes. We discussed what content we need from them and by what date and we discussed a communication plan. We are on time with everything so far. Our designer is currently developing a mockup and we're waiting on our client to deliver content to us.

Client Communication Plan:
The client, as well as the team members will be expected to check their email at least once a day and take no longer than 24 hours to respond. The PM will send out a weekly email on Tuesday to keep everyone informed and in check on what is going on.

No problems so far! Everything is going along smoothly!

We meet with our clients face to face and they were awesome. So far there has only been one face to face meeting and a follow up hasn't been scheduled yet.

As the designer my goals of talking with the client has been meet. I wanted to get a brief history on their orgniaztion, what they use their site for, what works, what doesn't work, and what they are looking for in their new site. I also wnated to know who would take ownership of the site, what their web skills were and find out what platforms they feel comfortable with. I was able to get answered my laundry list of questions to I would start fleshing out a design that would make them happy.

Client Communication Plan:
Most of the communication with the client will be coordinated through the PM. We told the client that if they needed to contact the Designer that was fine too, but to cc the PM on every e-mail. As a team, I think the client was looking to us to tell them what the next step is. We are still trying to flesh out our roles, but we gave them some dated to exspect items from us and told them we would be needing their content very soon.

Noah Freitas from the Birth Psychology group from the Business of Web Design class submitted the Client Initial report

Client Communication :
We had our initial client meeting last night, which was face to face. We will continue to have email contact with the client when necessary and have already determined that a second meeting to cover the site's content structures will take place within the next week or so. This will be a smaller meeting involving myself, Miranda, Jason and the client.

First Meeting Accomplishments / What still nees to be done -
The project's goals and scope were covered to the satisfaction of all attending. The client was able to give very good feedback on the different samplers and schematics. The details of how the content is to be structured still needs to be worked out and will be covered in the next meeting. Also, as the programmer I will be investigating various hosting options for the client and will present them to her at our next face to face meeting, which will take place within the next week or so.

Client Communication Plan:
- The client will be updated and contacted as needed by team members. The contact will probably be at least weekly. - The client has said that she checks her email often and will respond promptly. - The client would like to be fairly involved in the details of the project, and I believe this involvement seems welcomed by the team.

Any Problems or Concerns:
At this point I have no concerns. The client is intelligent, very engaged in the process, and already appreciative of the work we've done: she seems like she is going to be very pleasant to work with. The team is competent and dedicated and seems up to the challenge of a large project. And finally the project is perfect for Drupal: large, content-rich with community based features. I'm very excited to be working with this group.


Donald Ensley from the REFB group from the Web Content Practicum class submitted the Client Initial report

Client Communication :
Meeting started at 9:30 am with Des, Imelda, and Don from SRJC, and Jean Larson, Christy Molnar, and Hillary Howard of REFB. Des prepared an excellent agenda which helped us tremendously to keep the meeting goals in mind. Communication was focused, with everyone both speaking and listening to everyone as they were speaking. It was a very warm and friendly feeling. There was one break in the middle of the meeting when Jean got on the horn with the ISP, just to be sure who the ISP was. During that time we broke up into smaller groups for those few minutes. After that we came back to the agenda. REFB Team: Christy will deliver content to us. Jean knows about the spirit she wants the web site to convey. It is supposed to show the bleakness of hunger and the vitality of food. It should indicate that everyone needs to be fed, and not just the homeless. Hillary has some Dreamweaver experience, and will be the web site maintainer at the REFB. Christy is not a direct but contracted worker. My communication so far has been mainly face-to-face, but I will be making a lot more phone calls and e-mailings as the content to be delivered gradually develops.

First Meeting Accomplishments / What still nees to be done -
We laid out many design ideas and figured out what the client didn't like about their web site, which by inference then tells us what we need to give them. We determined: a. They do not like the yellow colored background and are open to having the background be white. b. They want to remove the cluttered and hodge-podge appearance of the pages, and especially the home page. c. They want the home page not to scroll, if possible. d. They would like a moving slideshow with hotspot links to external sites pertinent to the images in the slide show. This would be present on the home page. e. They want non-Javascript based drop-down navigation across the top, a search bar, and face book/ twitter links where we design them to be. f. An RSS feed for REFB is not required. g. They want a left bar for programs, not on the home page, that will provide associated links for the current page content. h. Jean wants a design that is good, bright food contrasted with the stark realities of hunger. Who’s hungry? People just like you! i. The calendar is to allow events in the date box areas that when clicked will link to specific HTML pages that Christy has made. Don will program it to have this capability…to allow a login that will give the user the ability to edit a days events and edit the link to point to the desired page. It will have an ongoing events area below the main calendar for those events longer than a day. j. A search bar will be added that indexes just the pages at the REFB site. It will pull up a list of links from the website pertaining to the entered search key words. k. REFB will retain the same donation page, but allow partial modifications to be made to its style. l. REFB will keep the current “constant contact” e-mail vehicle to allow visitors to sign up for new letters. m. REFB is open to keeping the same statistics providers or trying a new statistics tracking method. n. REFB is open to new design suggestions, as long as they are “good” ones! We still need to produce the deliverables list, content status chart, flowchart and storyboard, and lots and lots more. In particular we have to trim 265 pages down to 30-35 pages.

Client Communication Plan:
We'll let the client know if we need extra content, or need their approval to make a design change that require changing the content. We will keep Christy Molnar in the e-mail loop, when we send e-mails to each other pertaining to web site content changes or requests. Hillary Howard will check into how to change the style of the donations page and get the information about how this is modified to the team. Don will pick up a content CD from Christy at Starbucks near Guerneville Rd. and Fulton Roads in Santa Rosa on Friday, 2-4-2011, at 11:00 am. Ken Ruff is the ISP, with contact e-mail of ken@kenruff.com. Don will contact to investigate PHP programming, MySQL capabilities, and request copies of the scripts “food.php” (see submit button on page http://www.refb.org/volunteer-form.htm), and develop a calendar and a search bar to run on the server. Th client will reply within 1-2 days to our requests. They will be involved i the details when it involves removing or requiring more content.

Donald Ensley from the Redwood Empire Food Bank (REFB) group from the Business of Web Design class submitted the Client Initial report

Client Communication :
I met with the client team of three persons (two from the REFB, and one, their hired contractor) face to face. After we had a round table of introductions, the mood was relaxed, yet excited to be working together on the web project. Communication was through body language, speaking, and through the use of visual props that our PM used. I spoke and listened, and gave positive body language to reinforce the idea that I was very interested in what was being discussed.

First Meeting Accomplishments / What still nees to be done -
We discovered more exactly what the client wants in their website, and made a specific appointment to meet where we could receive all the content that they want their web site to contain, in its delivered state. We nailed down the basic layout of the home page, including allowable color changes, elements such as flash slide show with hot-spot links, REFB site specific search bar, horizontal top drop down navigation, and sub-page left sidebar links. We identified what elements of the clients current web pages they were not happy with such as cluttered appearance, yellow background color, and bad appearing video javascript players, and started figuring out what to do about them. We set up a next meeting date with the goal to produce a flowchart for discussion by then. We determined who the ISP was, and made a plan to contact to check on the web server software configuration. Hillary determined to get back to us as soon as possible concerning how their remote dontation page will be able to have its style modified, without changing the basic underlying scripts; and about page hit count statistics.

Client Communication Plan:
The client will be e-mailed when we send e-mails to each other pertaining to web site content changes, or requests. The client will try to respond as quickly as possible to our teams e-mails. They will be kept abreast of design questions actively, with lots of feedback to make sure that we all stay on the same page.

Any Problems or Concerns:
There have been no problems that we have not been able to figure out and overcome. One clear issue in our case is that the sheer size of the number of pages that need to be reduced via intelligent downsizing, while avoiding loosing anything that is of great worth, presents us with a challenging but not impossible technical feat. I am sure that with a lot of thought and dedication, our team will come up with a really good design that pleases everyone involved!

Client Communication :
Sarah, our PM, has communicated with our client by email to arrange the face-to-face meeting and to send/receive our initial client meeting questions. We met face-to-face on Thursday (feb 3). Entire team was there, Sarah moderated and moved the meeting along. As Content Developers Kiki and I were concerned with site outline and source of content. We decided to tweak the heading for clients outline and add one or two more specific headings to navbar and get back to her for approval. Our source for content will be the existing website. Noah got questions answered regarding CMS. Shannon got direction on her design based on a website from another H for H site an the use of WordPress. Cindy found out that the client wants many photos plus videos.

First Meeting Accomplishments / What still nees to be done -
We accomplished these goals: WordPress will be used for entire site. Site will contain a lot of photos and videos. Design of Sacramento site was preferred. Source of content will be the existing site. Kiki and I will be contacting client with suggestions for new outline. We will probably run this past Sarah and Shannon first. Soon. For content development all questions at this point were answered, H for H is open to suggestion and flexible.

Client Communication Plan:
Each group will communicate with the client as need arises. Client will respond as soon as possible. She wants emails compiled so we will probably send them to Sarah first at least at the beginning. Some of each.

Our team works very well together, we have an excellent PM and no foreseeable problems.


Elizabeth DeVries from the St. Vincent's group from the Business of Web Design class submitted the Client Initial report

Client Communication :
I have met the client in person. Stacy is very sweet and very hands on, so the meeting went very smoothly. We also communicate with her as a team through e-mails whenever need be, generally at least a few times a week.

First Meeting Accomplishments / What still nees to be done -
Most of our goals were accomplished at the first meeting. We broke the ice, got to know each other, she told us what she was looking for regarding the look and feel of the website, she described the school to us and gave us a little inside view of what goes on there so we could get a feel for what she'd like from us. We laid out what content she'd like to see, what she likes on websites, and what kinds of other add ons she'd like us to do, such as a calender. She still needs to finish up the content she wants, but she told us she's quickly finishing it up and all the content should be ready in a few days, along with more pictures. Deadlines were set for the unfinished goals and should be accomplished shortly.

Client Communication Plan:
The client will be updated at least once a week, and will respond within 24 hours, if not sooner. She will be involved with the details, and will be an active participant in this website.

Imelda Guzman from the Redwood Empire Food Bank group from the Business of Web Design class submitted the Client Initial report

Client Communication :
We had our first team/client face to face meeting this past Thurs. 2/3/11. It was a very welcoming and friendly meeting. Everyone seemed eager to get the project going and willing to work together to make the site successful.

First Meeting Accomplishments / What still nees to be done -
The team and client discussed the goals for the site based on their client packet and went over what they liked specifically about the sites they chose and what they did not like from their current site. The client has a large site and would like a flowchart/storyboard of their current site to analyze and re-work or remove certain pages - the designer will review the new changes (if any) and produce mock-ups based on the new flowchart/storyboard. A face to face meeting is scheduled for next Friday 2/11/11 to discuss the new storyboard/content and any new questions the team may have.

Client Communication Plan:
The client will be notified as often as needed and will respond to the team's email promptly - within 1-2 days. The client would like to be involved with the details and the design.

Any Problems or Concerns:
Not at this time. The meeting between the team and client started off on a good note and the client has been quick to deliver content, images and anything else the team needs for the moment.


Jacqueline Richmond from the NAMI Sonoma County group from the Business of Web Design class submitted the Client Initial report

Client Communication :
The team held the initial meeting with the client on 2/3. It was a face-to-face meeting at the client's office. All team members attended. The client prefers to use e-mail for communications. We have e-mailed almost daily to: * schedule the meeting, * exchange the agenda/questions, * send a meeting reminder, * send meeting follow-up notes, * share additional information.

First Meeting Accomplishments / What still nees to be done -
We were able to establish a warm and friendly working relationship with the client. We got a sense of the client's design sense and level of involvement with the design process. We found the client to be flexible on the design and open to suggestions. We also obtained/shared contact information and developed a communication plan with the client. We reviewed the client calendar. We generally received answers to the questions we compiled, though we still don't have all the content we were hoping for. We agreed to stop by the client's office to pick up additional content on 2/7. We did not review a rough draft of the storyboard with the client, though we agreed to complete that by 2/11.

Client Communication Plan:
The client and team agreed to respond to e-mails within 24 hours. The project manager will update the client via e-mail on a weekly basis. The team will be copied on e-mails sent to the client. The client has also been given access to the project web site, which contains project documents such as the team project plan.

Mary Neal-Norton from the H4H Sonoma County group from the Business of Web Design class submitted the Client Initial report

Client Communication :
Our project manager has been in phone contact with the client. On Thursday, Feb 3, we held a face-to-face meeting with the client and 4 co-workers who all help with the web site. It was an excellent meeting, several topics were discussed and we got a good idea of what they were looking for, how much input they wanted to provide, and what type of communication methods we would use. We discussed frequency of meetings but determined that we should work it out individually by job requirements due to the number of people involved on both sides and the distance issue for myself.

First Meeting Accomplishments / What still nees to be done -
We pretty much covered our goals, which were to find out what type of system they wished to use, how to incorporate the restore site with the main site (site within a site), and what interactive media and photos they desired and how to access them. For the CDs we determined how much say they wanted in the order of content, info on any new additions to the current content on the site, and how editing will be done and by whom. We pretty much covered all the goals we set out to accomplish.

Client Communication Plan:
The client is very busy but very efficient and involved in completing this project. We discussed frequency of meetings but decided to get started and determine need as we went along. We expect to keep them regularly up to date, sending content in batches as it is completed for client editing. Our experience is that the client understands our deadlines and is great at responding immediately to requests, they really want this site organized and are willing to help. They are somewhat involved in the details, different people for different aspects based on what they handle there. We have a pretty loose rein but they will monitor our progress and edit as needed.

Any Problems or Concerns:
I don't forsee any problems. We have a wonderful, dependable team and an excellent project manager!

I first contacted the client by phone last week. I was able to schedule the first meeting at this time. I then followed up the phone call with an email with the meeting agenda. The team met the client on Wednesday 2/2. I sent the client a follow up email that documented our client communications plan, and summarized the agreements that we made at this meeting.

Cecilia Hernandez from the La Voz group from the Business of Web Design class submitted the Client Initial report

Client Communication :
For the past week I have been talking with Ani via email. Today (Feb 2) our team had the first face to face meeting with Ani of La Voz. 4 members attending in person and 1 via telephone.

First Meeting Accomplishments / What still nees to be done -
The goal of the meeting was to understand what Ani is looking for (the feel and design of the site) and also just get to know Ani and what La Voz is. We had about a 1 1/2 meeting. Lots of questions were asked and I think the team has what they need at this time to get started.

Client Communication Plan:
I plan on emailing Ani weekly to let her know what is going on. She also has everyone’s contact info. Ani has been really good about getting back to emails within hours on me sending them. But we did let her know what 24hr - 48hr is the time frame for replying.

Any Problems or Concerns:
Not that I can think of at this time. Although 2 wiener dogs running around does make for an interesting meeting. Ani was very excited and made us feel at home. It made everyone a lot more comfortable.
