This week the team as a whole hasn't been communicating like I had hoped. I did bring it up with the team and I gotten positive responses from both Steve and Yoshi, although I am not sure about Alex. The response that I had gotten from him was a bit negative. Our primary source of communication has been email, but I have talked to both Yoshi and Steve on the phone. I need to hear more from Alex. I addressed the 24hr stipulation in the communication plan and that is all that needs to change. I need to hear a response from each team mate 24 hrs from the time they receive an email, and I do the same in return.
Project Status -
The team was to receive 50% of the content on Tuesday and Kate emailed me today stating that she was ill so it would be late, but she did say that she will be spending the day tomorrow on it to get it done. I will be working on the web proposal this next week. i would have to say that I am not completely sure what I am supposed to be doing for the web proposal...YET! I have been working on the team project site. I will be doing my research this next week.

I understand what I am doing with the content and once we have it I think I will feel even more confident. Team Communication:
Email is the main form of communication amongst the team. The team corresponds at least 3 times per week, most often there is some kind of daily emailing that goes out to every team member, sometimes in strings.
Team resources are used: SRJC class resources, Google calendar, and the project site. F2F meetings with the client have taken place.
Members are communicating about job allocation, clarifying issues, and distributing information derived from client contact.
As the PM, I have not received any notifications of members being out of contact. All members have been interactive.
Project Status -
The team initially received a reported 100% of content. However, as the site has been developed that percentage has been diminishing. More and more revision of the content has been necessary to achieve the desired tone.
The client has been willing to provide this revised content, but is still in the process of completing the changes. I believe the client is motivated to perform the revisions, and understands that providing the textual content is solely her responsibility.
We have found the deadlines around the 50% content due to be a bit confusing. We hope the other deadlines are straightforward.
Each team member is working on their components for the web proposal. Pieces are posted. Things change. Pieces are re-posted. Team members give input. The client gives input. Corrections are implemented.
It’s hard to say just how it’s going because so many things are in a state of flux for us. But each team member is doing their part.
I can honestly say; the challenges for this team are not the challenges we expected.

The group is interacting well. However, I believe there would be a benefit to coming together as a team for a group discussion.
I have the feeling that especially during this crunch time, it will be easy to feel the weight of isolation, fear for the progress of the project, and lose sight of our own individual responsibilities to the greater whole.
Also, I believed that the team was rolling along fine – busy but okay. But, now I’m not sure that was really true. I sense that it feels somewhat overwhelming to the team to have a content deadline that can only be met by the client. It is a reminder of how absolutes can become mercurial.

The emails have been flying all about this week. I have lost track of how many were sent and responded to. We have been setting up another meeting with our client and it requires many emails to set a time convenient for all (or at least most). Phone messages have not been productive, but text messages to cell phones have been used to some members with positive results.
There have been a few glitches. But for the most part information is moving. The key is for the members to keep a regular check on emails.
Project Status -
As of right now we have only the current website content to work with. One of the purposes of our meeting next week is to go over the content we will be using and which of it is necessary to get started with the main site structure. The Web proposal has not been formalized as yet.

I am located in MN so in order to participate in in-person meetings with Linda or the client, our team uses Skype to pull me in. Project Status -
We have received a good deal of content from our client. We are lucky to have a tech savvy and very together client.
My two main roles for the Web Proposal are to deliver a Multimedia Comps which is a mock up (static) of what the finished multimedia elements will look like and a Creative Brief an accompanying document that serves as the written explanation and justification for the multimedia elements I will create. It will detail why I chose a specific interface, colors, the goals of various elements, image selection, etc. I imagine I will be able to serve an important role in reviewing this document, as well.

The system is working very well. Team members are working well in small groups to accomplish tasks that have some overlap using telephone and email. Cindy and Shannon met face-to-face with the client and then discussed between the two of them the next steps to be accomplished. They issue updates to the group using our yahoo groups forum. Kiki and Susan have also ben diligent at updating the team with their progress and uploading their work. Noah continues to provide updates via email as well as cc'ing me (as PM) when he and the client email each other. This week there were over two dozen emails sent through the group, covering everything from notifying the group that a file or link had been uploaded to asking for input on the template options and flow chart. People are excellent at replying in a timely manner and staying on point. The team is also sensitive to not overloading others with their communication, so there is a good balance struck between email that is all-team oriented and that which is conducted "off list".
Project Status -
As most of the content already exists on the web, I believe we have most of the written content available to the CDs. Cindy and Shannon have received some of the photos needed and have another meeting scheduled this week with the client to discuss YouTube access. The Web Proposal...I believe we are all working on our bits and pieces and much of this is in the first draft stage. This week I expect to see more of the Proposal take a more definite shape.

The team has been meeting weekly, sans our programmer Gene. The team has been e-mailing almost daily and I have spoken to Gene on the phone several times. Communications seem to be going well, though I think it is a challenge for all of us to keep up with the volume.

Yes, the team is receiving the required content. Jeanene, our content developer, reports that we have at least 50% of the content. I understand the web proposal requirements. The contact page is complete and we have prepared a draft of the storyboard, comps and production standards. The appropriate members of the team are in the midst of preparing the following components: strategic brief, workflow plan, creative brief, deliverables, contract. Gene is reviewing all materials to determine programming requirements, which are a little unclear yet. We have proposed using Webvanta to our client and we are all trying to come up to speed on the impact of going in that direction.

The communication system works for me so far. In reading the proposal requirements for a CD I can see that there is a lot of information that I do not have for this report and not sure how to get it. Multimedia, images, where the code will be written, etc. These seem to be Designer questions.

So far The only content I am aware of is the content on the existing web site. We take the content from the pages. Client to do the editing.
I understand that Kiki did 2 of the reports (deliverables and content status) which I understand. I am to do the Shell Site, which I understand, and I am to do the Production Standards, which I don't have the information to complete.

is more a matter of reorganizing and editing. We have now
finally figured out who does what on the content but everyone on the team communicates well and sincerely works
to help each other (with the aid of a great PM), so it has not been a problem. Susan and I know which four sections of the web proposal that we are supposed to complete and have
put up the basic shell site, deliverables, and content status doc for team review. Still a little sketchy on determining the deadlines and a few other things, but figure that will work out as we go along and understand more.

The communication with our team has been good. Some of the team members have been stretched a bit thin with other work and classes, so there has not been a tremendous amount of communication this week, however we have a scheduled Skype meeting Monday, so we are hoping to get back onto the same page with our build. Our Forum has been a good place to keep everyone apprised of what uis happening. I have taken our PM's advices and installed yahoo chat. I am yet to communicate through it with other team members besides our PM Sue, but I would like to see us all on chat by the end of our next Skype Meeting. I think it's a good tool if there is a quick question or concern.
Project Status -
During our initial meeting with the client, I/we communicated our desire to receive all additional content not on their current website asap. Sue was scheduled to meet with the client on Friday and pass on whatever additional content she received during that meeting. I have set up a file-share service through mediafire.com which allows large file sizes (up to 200mb) to be hosted and transfered to whomoever has access to the shared folder. This will be a good failsafe if the client was not able to meet our needs and get us the much needd content. The client will be able to upload their content to the server and we will all have access to it immediately.

We are interacting pretty well. Like I said earlier, there hasn't been a ton of communication this week due to busy schedules but each team member is moving along in the background, completing and working through the taskes they are responsible for. We have recently set up a test server to hold our team build of the greenacre website. We will all have access to the Joomla website which will eventually migrate into the completed greenacre project.

I understand how I am delineating between content to keep and content to abandon. I understand how I am going to put the exiting content to keep into new web pages on the shell site as skeletons, and update the content status chart. When that process is completed, there will be a transition to actual template files.
I'm also writing a technical brief detailing the programming areas that are to be addressed, such as search bar, calendar, and other script applications such as hot spot link updating capabilities, and web server php and mysql configurations.

No real communication problems exist at this time. Our team is tight knit, very cohesive. The client knows that they now need to communicate to us the content (existing HTML files list) to be used in the new site, and what content will be left out (existing HTML files to be dropped, or merged into current HTML files), based upon the current web site's 124 visible HTML files. I have requested a list of files to drop, files to merge to what files list from the client to assist the delineation of the new site "content pool".
Once we have this content so delineated, we will create new HTML files (vastly reduced in number, hopefully to from 30-40 total pages), re-inserting and otherwise massaging the delineated required content (from the exiting HTML pages with preserved and client-specified content) into the new shell site "placeholder" skeleton pages. Our content status chart (http://student.santarosa.edu/~densley/refbContentStatusChart) is a dynamic web-page, with links to each new shell site page, and indications of percentage complete and due dates for every sheet. An update button allows team members to update the chart (with a protective login). Currently it lists the original 112 pages (124 minus 12 calendar sheets), but it will be totally revised soon.
The production standards are straightforward, and will be available soon.
Project Status -
In our case we had a premature content overload, all the website files plus around 820 new images from which to choose. The website is inherited from a person who would regularly simply break a link to "fix" the web pages. Thus we end up with very many "orphaned" HTML pages and content. The client indicates they only require the non-orphaned content, and we have now requested a "tree trimming" on their part. We await the file deletion/merge list, which will key us in on the "keeper" content and the content that is to be abandoned.
I understand the process to get to the final web pages, with mostly existing content, and how we will build the shell site, and put the shell site content from the skeleton templates into the actual designer templates with the full-blown CSS, images, and scripts.
I will be getting links to the PM for the component of the web proposal for my part as CD and Programmer for the site.

We had a second meeting with the client and achieved our goals. We defined the beginnings of the project in detail and took assignments to work on for the next couple of weeks.
The details include the home page layout and basic style, navigation layouts, design standards (from the national AIA) and much of the content.
We will be working on fitting old content into the new layout, defining the header design, and researching the web hosting arrangement (probably Google). We had a phone conference with the national AIA web leaders. They are encouraged by our work and see the possibility of ours being a template for other local sites.
Project Status -
We have mapped the existing site and pulled most of the content. We also have copied links for reuse. The CD has been defining a new, more concise web site that includes most, but not all the existing site.
I have crafted a definition of the decisiions and standards in place for the project. As we define the complete layout, we will be able to define the limits of new pages.
Team Interactions:
We find that emails are the most used and functional messages. We have a message board, but don't use it. We investigated BaseCamp, but find emails just as efficient.
The client has been open and fulfills requests and questions. She arranged the phone conference with the national AIA web leaders when she went to DC earlier. They suggested Google and the tools they have available.

Most of the content (aside from what is being produced by us) is already on the website, so the main issue is making sure everything works. I have a good idea of what I need to do after I finish the Shell Site (which is turning out to be inexplicably hard to finish), so at least on that front I am fine.

The communication plan that we have implemented is working fine for me. We are using Skype, email and face to face meetings. We are receiving the content in good time, although the client failed to follow our request to divide the content into individual Word documents that match each page on the storyboard. We are in the process of deciding whether or not to ask her to go back and re-do the way she submitted the content. The web proposal is progressing according to the timeline. We do understand what to do with the content, and have reviewed the directions, and examples with regard to the preparation of the proposal several times.

The Strategic Brief has been drafted and available for comment by the Development Team. Web Proposal content has been assigned to Team Members. Since there are two Content Developers, they will jointly complete the Deliverables section, with one taking the Standards and the other developing the Technical Brief.
Most of the content for this project will source from the existing website. We will be building the majority of the pages via transfers of data. Our content developers are looking at software to provide additional features for the site, including Content Management Systems (WebVanta) and search ability which will allow users to view more content in their search result.

I am satisfied with the interaction between the team members. I hope they are feeling that their questions and concerns are being answered. I hope we continue to work together smoothly. The next two weeks will be critical for defining the project's scope and success.

I know what I am suppose to be doing, I am currently working on some mock ups or concepts for the client and recently e-mailed her asking her what she thinks of the design, and color schemes that I have provided for her. In the coming weeks I am a little confused to if I am suppose to be turning the mock up into CSS/HTML and if so, then the shell sites aspect confuses me. Is the content developer creating the shell site and then I start putting in the CSS/HTML and pictures, or am I suppose to turn the mock up into a template and the content developer will then go in and add content.

We got a lot of input for the Web Proposal from the client meeting. Christy has put together a flow map/storyboard and will be getting team member input to clarify pages. We will work together to clearly define our scope so we can do a quality job and make a meaningful impact on improving their website. One area to determine is what if any of the pages that require programming can be included in the proposal since we don't have a dedicated programmer. We'll have to decide if the programming pages are high enough priority to see if we can get help from a programmer on another team.

So far the communication seems to be working fine. At this stage of the process the different team members are pretty much working on their own sections of the project, while we wait for the client to send more content. I'm slightly behind on this week's email -- mainly due to a power outage during the storm that prevented me from getting things done for other classes.
Project Status -
We have started receiving the content, and so far the client is keeping up with the deadlines for providing it, although they are not breaking any speed records. They have not yet provided the images they have told us they have: I'm not certain why that is, unless it's a matter of deciding which ones they want to use (it sounded like they had quite a few to sort through). I will be contacting them again tomorrow and will continue to press them for both additional content (we have about 30-40% at the moment). We are making some progress on the Web Proposal - I will be posting the strategic brief and workflow shortly, and reminding the team of what is needed from each of them as well.

There are several things I will need from each team member, and I know they are working on them. I think we need to continue to push the client to provide their pieces of the project, but move forward with ours, and point out the specific problems we're having because of things they haven't yet delivered, or responded to.

Communication so far has consisted mainly of e-mail. However, I did get a chance to meet with the Project Manager to go over the project, the way the group functions and my duties including the shell site. The project manager sends out e-mails at the beginning and mid-week as well to give us updates and actions for us to complete. The communication system is working fine so far.

The client has been very good at giving us what we need. A lot of the web content will not change. The client is interested in making its existing site more robust rather than changing the information in the site. The orchestra is still the same as is the board of directors. Names, addresses, and phone numbers also remains the same.
I'm redoing the PM assignments for the Web proposal to make it more generic so the basic pages have the same look and for others to insert into the template. I have completed the team contact page, strategic brief, and am currently working on the communication plan which the team had discussed earlier. I will be beginning on the work flow chart once the revised storybook has been sent to the team.
