CLINE CELLARS SPECIAL EVENT INFORMATION


Cline Cellars is the perfect place to hold your next special event! We offer an expansive and elegant setting in the heart of the Carneros region of the Sonoma Valley. Come and enjoy our spectacular views, historic sites, spring-fed ponds, thousands of rose bushes, and beautifully landscaped lawn and picnic areas. The grounds at Cline Cellars are a unique place to host any special functions, and we welcome groups of all sizes. Our family-owned winery has what it takes to make your event very special.

Base fee of $30 per person includes the following:
· Use of one venue for five-hour (one hour set-up and one hour break-down gratis)
· Tables for seating, with white tablecloths
· Chairs (one dining chair for each guest)
· Wineglasses -one at table and one at bar per each guest (Flutes for an additional fee of $0.55 each)
· Wine bar with wine servers
· 20% one-time discount on all Cline wines (subject to availability) for the event
· Event coordinator on site during the event

VENUES

Festival Tent or on the Great Lawn: Can be placed almost anywhere on lawn areas. Our 40' x 40' white tent is included in our site fee available with or without walls. Walls have cathedral windows and are clear vinyl. Capacity is 130 seated. Minimum charge is $3,750 plus $30 per person over 125 guests. Maximum capacity for the entire Great Lawn area is 1,000 people. Music must terminate at 10 p.m. in this venue.

Vintage Rail Car and Deck: Overlooking duck ponds and lawns areas, the restored Rail Car and Deck seats 110. Rail Car alone seats up to 40. Minimum charges. Rail Car and Deck $1,500, plus $30 per person over 40 guests. This venue is not available on Saturday and Sunday.


Adobe Mission: A nod to the properties historic origins, our Mission is constructed of antique adobes and is surrounded by ponds and period landscaping. A flagstone reception area makes the mission ideal for unique weddings, receptions, or special affairs. Overall capacity is 165 on open flagstone patio. Mission alone seats up to 30. Minimum charge is $1,500 plus $30 per person over 40 guests. Music must terminate by 9:00 p.m. in this venue.

Barrel Room: Our wine barrel room is an outstanding location for large indoor events. Capacity is 550 seated. Minimum number of guests is 200. Minimum charge is $6,000, plus $30 per person over 200. Lighting is a specialty service required and a cost of the client.

Deposit: $500 deposit is required to reserve the date. The deposit also serves as a Security/Damage deposit during the event, and will be a credit amount in the final recap statement after the event.

Payment of Basic fee: One half of the basic fee is due 90 days prior to the event; the balance is due 30 days prior to the event. Payment for estimated expenses, ie wine/beer/champagne will be submitted to the client 2 weeks prior to the wedding. The payment is due 1 week prior to the wedding.

Insurance: We require from the client a certificate of insurance naming Cline Cellars as additionally insured, with $500,000- bodily injury and $500,000 property damage for each occurrence. Due 30 days prior to event.

Cancellation: If the site can be rebooked, you will receive a refund of 75% of the deposit. If the event is canceled by the client less than 12 weeks to the event date, all monies will be retained by Cline Cellars. In the event Cline Cellars finds it imperative to cancel this contract less than the same 12 weeks, all moneys will be refunded to the client.

Other Beverages: Beer can be provided but must be ordered through Cline Cellars. Gloria Ferrar sparkling wine is available for purchases through Cline Cellars. Event guests must be 21 years of age to consume any alcoholic beverage. As a responsible host, wine service will end fifteen minutes prior to the end of the event. Cline Cellars cannot serve wine to an intoxicated guest. In accordance with California law, Cline Cellars cannot serve hard alcohol, and clients, vendors of clients, and client's guests are prohibited from bringing alcoholic beverages of any kind to an event held at Cline Cellars. If discovered, these beverages will be confiscated. It is the responsibility of the client to inform guests and vendors of these policies prior to the event.

Referrals and Music: The client may obtain an event packet listing local services and preferred vendors (i.e.: florists, music, photographers, limousines, officiants, party planners) with whom Cline Cellars has worked. Prior to event, client must provide Cline Cellars with a list of vendors who will be supplying items for the event. Live music and DJs require approval, and must adhere to the outdoor time restriction of concluding at 10:00 PM.

Weather: Weather in the Carneros region can be unpredictable, and guests should be informed that warm attire is recommended for evening events. Cline Cellars cannot be held responsible for inclement weather on the day of the event.

Deliveries: In order to keep ordering and deliveries organized a $100.00 receiving fee per delivery will be charged to clients arranging for any extra rental deliveries, not ordered through Cline Cellars' Special Event staff, other than band/DJ, florist, or bakery.

Wedding Ceremony Rehearsal: Ceremony rehearsals must be coordinated in advance with Cline Cellars' Special Event staff. Time and location is subject to availability. Rehearsals are not to exceed one hour unless Rehearsal Dinner is also held at the winery.

Final Guest Count: Client must inform Cline Cellars of final guest count two weeks prior to event. After the event, Cline Cellars will confirm with caterer the actual guest count.

Decorations: Decorations are the responsibility of the client. All decorations must be set-up by client at a mutually agreed upon time prior to event, and taken down by client before 10 AM the day following the event. Client must inform Special Event staff of complete decorating scheme 30 days prior to the event.

Smoking: Please refrain from smoking inside the Barrel Room, Train Car, Mission Chapel or Tasting Room.

Electrical Power/Barrel Room: Our electrical power capacity in the barrel room is 60 amps. If you require more power, it will be your responsibility to provide an auxiliary generator for your event.

Overtime: Overtime is available at $400.00 per hour for any fraction of an hour or full hour over the five-hour event time frame.
